Job DescriptionPosition Description: The Receptionist will manage a multi-line phone system, greet and direct guests, visitors and clients, and manage general office upkeep. This individual is the initial contact person at OZ and should represent the professional nature of the office. General administrative support is provided to staff as requested and includes tasks that can be done while at the reception desk.Qualifications:
High school diploma required; college degree preferred.
12 years of experience in a professional office environment preferred.
Experience operating a multi-line phone system.
Proficiency with Microsoft Office Suite; familiarity with Deltek Vantagepoint is a plusResponsibilities:Receptionist Responsibilities:Professionally and hospitably greets and welcomes guests, clients and staff to our office space.
Build strong relationships with colleagues and frequent visitors, knowing names if possible.
Manage incoming phone calls on multi-line phone system including screening and transferring calls appropriately.
Basic understanding of Deltek Vantagepoint for entering and searching for basic project data.
Coordinates couriers and FedEx/UPS services. Assists with postage and mail as needed.
Accepts incoming deliveries, notifies recipients and stores items near the supply room.
Maintains the reception area, galley, lobby, supply/mail center, postage machine, and surrounding conference rooms by keeping areas clean, stocked and organized.Office Operations Support:
Coordinates conference room meeting set-up, breakdown and clean up.
Follows assigned tasks on the Admin Task list and other duties that may be assigned.
Order, set up, and organize lunches for meetings. Maintains office plants.Coordinates office cleaning contract, crew and cleaning supplies with oversite as needed.
Order and manage office beverages and snacks.
Maintains inventory and procurement of office supplies
Support kitchen and common area cleanliness (running dishwashers, wiping counters, restocking, etc.).
Handles routine requests, including facilities requests from staff. Coordinates with building vendors/contractors including janitorial, electrical, HVAC, etc. (i.e., building temperature, lighting, equipment failures).
Perform general office upkeep such as collecting dirty dishes, restocking items, cleaning up meeting lunches, and ensuring spaces remain presentable.
Manage all issues related to office upkeep (working with building management to resolve any fixes in the offices, etc)
Distribute/Re-Issue RTD Eco-passes, parking information and communicates with IT on new hire needs.
Prepare new-hire desks and Orients new employees on facilities rules/processes.
Helps with project archiving and file searches upon request
Other duties may be assigned.
