Medical Secretary
General Purpose
Attend to patients on the phone and in person. Helps maintain an efficient office environment. Provide administrative and clerical support to physicians and staff in the office.
Main Job Tasks and Responsibilities
· Ability to communicate effectively to patient/providers
· Answer phones and transfer to the appropriate staff member
· Take and distribute messages
· Retrieve messages from assigned phone as necessary, check voice mail 4-5 times a day and return calls as appropriate. Transcribes messages into patient chart as messages or orders and forward to provider for review if appropriate
· Register/schedule patients according to established protocols
· Faxing, scanning, and copying of documents
· Maintain office filing and storage systems
· Retrieve information when requested
· Safeguard patient privacy and confidentiality
· Communicate verbally to answer inquiries and provide information
· Assist patients to complete all necessary forms and documentation including medical insurance
· Ensure patient information is accurate including billing information
· Inform patients of medical office procedures and policy
· Collect co-pays and payments from patients. Review balances prior to scheduling patients and collect balance when scheduling
· Keep daily payment log – balance at end of day
· Deal with incoming electronic faxes
· Operate office equipment (copier, stamp machine, fax, printer)
· Ensure workspace is well maintained, neat and clean by sanitizing
· Complete other clerical duties as assigned
· Complete all insurance referrals for patients to specialist, radiology exams, etc
· Assist in setting up F/U appointments or new referral appointments to another physician
· Adhere to provider schedule at all times
· Don’t double book appointments for the providers
· Assure documents are copied and ready for new patients/HIPAA information
And all other duties as assigned

Education and Experience
· High school diploma and/or some college
· Knowledge of medical terminology, procedures, and diagnosis
· Knowledge of computer and relevant software applications
· Internet skills including use of e-mails, group messaging
· Numerical and literacy skills
· Knowledge of general administrative and clerical procedures
· Working knowledge of healthcare insurance preferred
· Experience with the E.H.R. (Athena) system
