We are seeking a highly polished, resourceful, and proactive Executive Assistant to provide high-level administrative and strategic support to senior executives. This individual will serve as a trusted partner and gatekeeper, ensuring smooth day-to-day operations and seamless coordination across internal and external stakeholders. The ideal candidate excels in managing complex calendars, high-stakes communications, and executive-level priorities while demonstrating discretion, poise, and excellent judgment in a dynamic, fast-paced environment. Position requires being in office a minimum of 4 days a week.
Key Responsibilities:
- Provide comprehensive administrative support to one or more C-level executives, including calendar management, travel coordination, and meeting logistics.
- Serve as a primary liaison and representative for the executive, interfacing with senior leaders, board members, clients, and external partners with professionalism and discretion.
- Prioritize and manage confidential and time-sensitive communications, ensuring timely responses and proactive follow-up.
- Draft, review, and proofread executive communications, presentations, memos, and reports.
- Prepare and reconcile expense reports, manage invoices, and assist with budget tracking for the executive office.
- Coordinate cross-functional meetings, leadership off-sites, and key internal events, including agenda creation, materials preparation, and post-meeting action tracking.
- Monitor and manage key deadlines, deliverables, and follow-ups on behalf of the executive.
- Maintain an organized system of physical and digital records, including contracts, board materials, and confidential files.
- Provide light project management support, ensuring alignment and execution of special initiatives or strategic priorities.
- Proactively anticipate the needs of the executive and identify opportunities to optimize time and operational efficiency.
- Manage sensitive issues with a high degree of confidentiality and professional discretion.
Experience:
- 5+ years of experience supporting senior executives in a fast-paced, high-accountability environment.
- Experience working in corporate, private equity, or high-growth environments strongly preferred
Qualifications:
- Exceptional calendar, travel, and email management skills.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and productivity tools (e.g., Teams, Zoom, DocuSign).
- Strong written and verbal communication skills, including experience drafting high-level correspondence.
- Demonstrated ability to exercise sound judgment and handle highly confidential information.
- Strong organizational and time-management skills with proven ability to prioritize and multitask.
- A proactive, solutions-oriented mindset with a high degree of initiative.
- Ability to work independently while also collaborating cross-functionally with stakeholders at all levels.
