About the Role:

As a Client Service Specialist, you will play a key role in welcoming new clients to Arcadia Financial Group and ensuring their onboarding journey is seamless, efficient, and exceptional. Youll be the friendly, organized, and knowledgeable point of contact who helps our advisors prepare and process client paperwork, coordinate business transitions, and foster lasting client relationships.

What Youll Do:

Daily

  • Provide same-day responses to client inquiries with professionalism and care
  • Prepare client applications, forms, and authorizations ahead of meetings
  • Support advisors during client meetings, including occasional after-hours or last-minute sessions
  • Execute advisor instructions and consult with clients to address questions or concerns
  • Utilize technology platforms such as CRM, DocuSign, Fidelity Wealthscape, and others to maintain efficient workflows
  • Track and maintain detailed records of submitted business, ensuring deadlines are met

Weekly & Monthly

  • Participate actively in team meetings to collaborate and align on priorities
  • Monitor and report on outstanding and pending business to ensure timely processing
  • Review monthly reports and adjust processes as needed

Ongoing

  • Verify advisor licensing and training compliance
  • Provide onboarding guidance for administrative staff
  • Maintain proactive client communication to resolve outstanding matters

What Were Looking For:

  • A genuine desire to provide outstanding client service
  • Exceptional organizational skills and the ability to manage multiple priorities
  • Comfortable adapting to a dynamic, fast-paced environment
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office and ability to quickly learn industry software
  • Bachelors degree preferred
  • Minimum 5 years of client onboarding experience, with at least 1 year in the financial industry
