Executive Assistant (Senior Executive Support)

Location: 1850 International Square, Washington, DC
Work Schedule: Onsite, Monday–Friday, 8:30 AM – 5:00 PM
Duration: One-Year Contract

Position Overview
A Federal Government Agency is seeking an experienced and highly professional Executive Assistant to provide comprehensive, high-level administrative support to a senior executive. This critical role requires a seasoned administrative professional with exceptional organizational skills, sound judgment, and the ability to operate effectively in a fast-paced, high-profile environment.
The successful candidate will serve as a trusted partner to senior leadership, managing complex schedules, coordinating executive communications, overseeing travel logistics, and supporting critical meetings and initiatives involving senior government officials, regulatory stakeholders, and executive leadership.
Key Responsibilities
Executive Support & Calendar Management
- Provide comprehensive administrative support to a senior executive.
- Manage an extremely complex and dynamic calendar involving multiple competing priorities.
- Coordinate and prioritize meeting requests while ensuring adequate preparation time and strategic scheduling.
- Anticipate executive needs and proactively resolve scheduling and administrative challenges.
- Track action items, deadlines, and follow-up requirements.
Communications & Correspondence
- Draft, edit, proofread, and coordinate correspondence, memoranda, reports, presentations, and briefing materials.
- Manage communications with senior government officials, executive leadership, regulatory agencies, and external stakeholders.
- Maintain strict confidentiality and discretion when handling sensitive information.
- Prepare agendas, background materials, and executive briefing packages.
Meeting & Event Coordination
- Plan and coordinate executive meetings, conferences, briefings, and special events.
- Manage videoconference, hybrid meeting, and virtual collaboration logistics.
- Coordinate executive participation in high-level meetings and interagency engagements.
- Ensure all meeting materials, logistics, and follow-up actions are completed accurately and timely.
Travel Coordination
- Arrange complex domestic and international travel itineraries.
- Coordinate travel logistics, authorizations, accommodations, and expense reporting.
- Manage executive travel requirements with flexibility and efficiency, including time-sensitive adjustments.
- Process travel reimbursements in accordance with agency policies and procedures.
Administrative Operations
- Process invoices, purchase requests, and office-related expenditures.
- Assist with preparation of executive presentations and decision-support materials.
- Support division-wide initiatives, projects, and special assignments as needed.
- Maintain organized records, files, and administrative documentation.
Required Qualifications
Experience
- Minimum of 10 years of progressive administrative support experience.
- At least 5 years supporting C-suite executives, senior government officials, directors, or other executive-level leaders.
- Demonstrated experience managing competing priorities in fast-paced, high-stakes environments.
- Experience supporting executives within government, financial services, regulatory, legal, or similarly complex organizations is highly preferred.
- Familiarity with Federal Government operations, protocols, and executive office procedures is highly desirable.
Education
- Bachelor's degree preferred.
- Equivalent combination of education and directly related executive support experience will be considered.

Additional Requirements
- U.S. Citizenship is required.
- Must be able to successfully pass a background investigation.
- Ability to work onsite full-time in Washington, DC.
