Chief of Staff

Idaho Asphalt Supply, Inc. is a leading asphalt supplier and marketer in the Inland Northwest and Pacific Northwest Regions. With plants in Idaho, Utah, Wyoming, Montana, Oregon, California, and Arizona, IAS supplies a diverse product line of asphalts, polymer-modified asphalt, and asphalt emulsions to the road maintenance and construction industry. IAS is looking for an energized and flexible self-starter to fill a full-time opening for a Chief of Staff at our Coeur d’Alene, ID office.

The Chief of Staff (CoS) directly supports the VP of Strategic Transformation and collaborates with the senior leadership team in identifying opportunities and coordinating, supporting and leading strategic change throughout the company. The CoS will work closely with the CEO and leadership team to oversee strategic business initiatives and assist and communicate with executives in decision-making, program management, and initiative implementation. The CoS will work with regional and functional leaders across the organization to execute on a variety of strategic and transformational projects aimed at achieving the strategic and financial objectives of the business and preparing the business for the future.

Executive Responsibilities:

  • Strategic Planning: Collaborating with the leadership team to develop and execute scheduling, content development, planning, prioritization and execution that align with the organization's goals and objectives. Work with the CEO to set direction, build consensus, mediate conflicts, and help to create an environment which solicits contributions from all participants at all levels and functions.
  • Leadership Support: Work closely with the CEO and leadership team to ensure their vision and intent are effectively communicated and measured, while freeing him or her to focus on external issues by resolving internal ones.
  • Operating rhythm: By streamlining processes and improving communication, a Chief of Staff enables leaders to focus on strategic initiatives and high-level decision-making.
  • Information Flow: Establish and monitor the CEO’s critical information requirements and set the executive’s priorities and allocation of focus based on their objectives. Keep the CEO abreast of current company climate/culture (employee wellbeing, project statuses, new proposals, etc.)

Organizational Responsibilities:

  • Drive Strategic Alignment: Leverage the unique vantage point as a Chief of Staff to ensure departments and teams are aligned with the organization’s strategy. Define and implement metrics to measure progress against strategic objectives.
  • Project Management: Work with CEO and executives on special projects and drive or coordinate the execution of business-wide initiatives. Assess and mitigate risks to complete programs on time and on budget.
  • Communication and Collaboration: Facilitate effective communication and collaboration between different departments and teams, offering insight into the executive’s perspective. Assist the CEO with internal and external communications processes, develop communications strategy and messages and assist in presentation development.
  • Optimize Decision Making: Identify decision opportunities, gather the most relevant information and individuals to build context, and present it to the executive for a decision.
  • Build Relationships: Foster relationships between senior executives, external stakeholders, and the broader organization, communicate to the organization on behalf of the executive team and serve as a definitive voice.
  • Reporting and status tracking: Develop, coordinate, monitor and report corporate Key Performance Indicators (KPIs). Provide analysis and reports necessary to keep the senior leadership team up to date to support decision making. Develop and provide custom analysis and act as a main consultant to the CEO. Work with each functional area and lead or participate in cross-functional teams focused on analysis, planning and business process improvement projects.

Position Requirements:

  • Bachelor’s degree in business administration, finance or related field; MBA preferred
  • 10+ years’ experience within the business with roles across multiple functions.
  • Experience improving business processes across multiple functions.
  • Outstanding quantitative and analytical skills for solving problems and advising executives.
  • Highly experienced with project management and multi-project coordination.
  • Ability to conduct outside/inside research, analyze data, develop models and drive improved decision making.
  • Self-motivated, self-sufficient and resourceful.
  • Proven critical thinker with strong business acuity and a track record of creative solutions.
  • Excellent oral and written communication skills experience in interdepartmental communications.
  • Experience working with and collaborating with executive leaders.
  • Able to successfully organize, lead and direct teams to achieve stated objectives.
  • Familiarity with confidentiality standards and practices.
