We are seeking a detail-oriented and organized Receptionist/Title Processor to join our team. The ideal candidate will be responsible for answering phones, receiving title requests, inputting title requests and information into our software program, preparing closing documents and following up with buyers and sellers with regards to their files. This role requires strong clerical skills, excellent customer service abilities, and proficiency in various software applications. The successful candidate will play a crucial role in maintaining smooth operations within our office.
Responsibilities
Receptionist Duties:
• Greet clients and visitors professionally and courteously.
• Answer and direct incoming calls, take messages as needed.
• Exhibit strong phone etiquette when communicating with clients, vendors, and internal teams.
• Manage incoming and outgoing mail, deliveries, and emails.
Title Processor Duties:
• Receive new title orders.
• Input nee title order data into our closing program.
• Call/contact all parties to ensure that information is correct.
• Prepare closing documents.
• Follow-up with all parties regarding their completed closing documents.
• Maintain organized records of all transactions and related paperwork.
• Provide exceptional customer service by assisting clients with inquiries regarding title processes and requirements.
• Exhibit strong phone etiquette when communicating with clients, vendors, and internal teams.
• Proofread documents to ensure accuracy and adherence to company standards.
Qualifications:
• Proven experience in clerical roles or administrative support is preferred.
• Proficiency in data entry with a high level of accuracy is essential.
• Strong attention to detail and problem-solving ability.
• Professional demeanor and excellent communication skills (verbal and written).
• Excellent customer service skills with the ability to communicate effectively both verbally and in writing.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Familiarity with calendar management tools a plus.
• Strong organizational skills to manage multiple tasks efficiently.
