Medical Support Staff – Federal Facility (1-Year Contract)
Santa Fe Indian Health Center – Santa Fe, NM
Full-Time | Monday–Friday, 8:00 AM – 4:30 PM
Target Start: August/September (based on background clearance)

We’re seeking six (6) Medical Support Staff to join our team at the Santa Fe Indian Health Center, a federal facility operated by the Indian Health Service (IHS). This is a 1-year contract role supporting the Purchase & Referred Care (PRC) program.
Key Responsibilities:
- Review patient information to determine eligibility based on service area, tribal membership, and residency.
- Evaluate and verify alternative patient resources (Medicare, Medicaid, VA, private insurance).
- Manage and review health records (paper/electronic), and track patient visits and discharges for referral/payment purposes.
- Prepare and send denial letters; maintain denial and appeal documentation.
- Process incoming and outgoing mail; manage correspondence related to reconsideration requests.
- Collaborate with medical staff to ensure complete documentation for referrals.
- Follow up on pending referrals and ensure accurate data entry in automated systems.
- Provide clerical support, generate reports, and assist with case monitoring.
- Deliver excellent customer service and direct inquiries appropriately.
- Organize and maintain program file systems.
- Respond to incoming communications (fax, mail, email) promptly and professionally.
- Monitor office supplies and equipment; coordinate maintenance and reordering.
- Participate in staff meetings and training; take and distribute meeting notes.
- Assist with student eligibility forms and document completion.
- Coordinate benefits and assist with explanation of benefits for patients, vendors, and providers.
- Reconcile and manage Purchase Orders; ensure timely provider payments.
- Educate patients, providers, and community partners on PRC processes and guidelines.
- Maintain confidentiality and compliance with HIPAA and the Privacy Act of 1974.
- Ensure workstation cleanliness and adherence to infection control and safety policies.
Required Skills & Qualifications:
- Basic knowledge of medical terminology
- Experience with medical billing and coordination of benefits
- Proficiency in Microsoft Excel and other MS Office programs (Word, Outlook)
- Strong communication and interpersonal skills
- Ability to work independently and as part of a team
- Familiarity with CPT, HCPCS, and ICD-10 coding is a plus
- Previous experience in a federal or tribal healthcare setting is preferred
