The Administrative Assistant/Receptionist plays a critical role in supporting multiple departments within a large administrative team. As an individual contributor reporting to both the Office Manager and Department Head, this position ensures smooth office operations through effective management of reception duties, scheduling, and customer service. Leveraging standard office software and specialized scheduling and CRM systems, the role demands strong organizational skills and the ability to manage diverse administrative tasks without travel requirements.

Responsibilities

  • Manage reception duties and greet visitors professionally
  • Coordinate scheduling and appointment bookings using specialized software
  • Perform accurate data entry and document management
  • Handle multi-line phone systems and email communications
  • Provide excellent customer service and office support
  • Monitor office inventory and supplies
  • Coordinate meetings and maintain records

Preferred Qualifications

  • 1+ years of experience in administrative support
  • High school diploma or equivalent
  • Proficiency with Microsoft Office Suite and appointment scheduling software
