🚫 Not Looking For

  • Senior recruiters seeking full-cycle or sourcing-heavy roles.
  • Candidates resistant to structured procedures or repetitive documentation.
  • Individuals without strong written communication or time-management discipline.

Role Overview

This is a specialized Talent Acquisition role focused on supporting immigration and sponsorship (PERM) recruitment process for current employees.

  • Not a full-cycle recruiting role — no candidate sourcing or direct applicant engagement.
  • The work is primarily resume evaluation, documentation, and coordination with legal and hiring managers.
  • Highly process-driven, compliance-heavy, and detail-oriented work where accuracy and adherence to timelines are critical.
  • The individual must be able to learn quickly, follow structured procedures, and work independently in a remote setup.

📋 Key Responsibilities

  • Review all incoming resumes daily for assigned requisitions (4–10 open at any given time).
  • Ensure zero backlog – all resumes submitted that day must be reviewed the same day.
  • Evaluate candidates against 6–14 role-specific criteria using a Resume Review Excel Tracker (yes/no format).
  • Complete weekly reporting for legal — metrics include # of resumes reviewed, interviews scheduled, and outstanding items.
  • Schedule interviews between hiring managers and qualified internal candidates.
  • Participate in kick-off calls with hiring managers and legal teams.
  • Maintain full compliance with audit-ready documentation at all times.
  • Act as a consultant to hiring managers on process-related queries and timelines.
  • Uphold professionalism in all stakeholder interactions (video presence expected on calls).

🧠 Skills & Attributes Required

  • Strong attention to detail and accuracy — critical for audit readiness.
  • Analytical mindset — able to quickly review and assess resumes (50–100+ daily).
  • Time management & organization — must manage multiple moving parts with tight SLAs.
  • Tech-savvy & proficient with Excel (filtering, data entry, tracking).
  • Critical thinking — able to interpret complex, technical resumes (scientists, statisticians, engineers).
  • Excellent communication — especially written; must interact confidently with managers, legal, and peers.
  • Fast learner — capable of absorbing a week-long training and applying it consistently.
  • Collaborative team player — willing to engage in team discussions, share learnings, and follow common standards.

🎓 Experience & Background

  • Preferred: 2–5 years of Talent Acquisition, HR Coordinator, or Recruitment Operations experience.
  • Candidates with TA Coordinator experience often transition well into this role.
  • Backgrounds in regulated, compliance-heavy environments (pharma, healthcare, government contracting, finance) are a plus.
  • Bachelor’s degree preferred, not required — capability and learning agility matter more.
  • No prior immigration or PERM experience required; provides comprehensive training.

📈 Volume & Pace

  • Manages 4–10 requisitions at a time.
  • Reviews 50–100+ resumes per day.
  • Every requisition stays open for at least 60 days.
  • Team goal: Zero-out resume queue daily.
  • Environment is fast-paced, structured, and metrics-driven.

💬 Training & Support

  • One-week intensive training led by HM herself (130-slide structured program).
  • Continued shadowing/mentoring and access to team support.
  • Clear processes and templates provided (no ambiguity).

💡 Ideal Candidate Persona

  • Detail-oriented, structured, and comfortable with repetitive yet critical tasks.
  • Strong analytical or administrative background (e.g., HR coordinator, compliance analyst, finance ops, or data admin).
  • Comfortable working with spreadsheets and structured documentation.
  • Good communicator with a calm, process-oriented demeanor.
  • Not looking for full-cycle or highly social recruiting — must enjoy structured, back-end work.
