PARISH OPERATIONS MANAGER

Job Status: Non-Exempt / Part-Time
Hours: 18 Mon-Fri (schedule flexible)

Primary Functions: Under the direction of the Pastor/Administrator, this position:
- Provides a welcoming environment to those visiting or contacting the parish
- Supports Parish Staff in carrying out their mission on behalf of the parish
- Manages Human Resources and Facilities Needs of the Parish
- Carries out other additional functions as required.
Duties and responsibilities:
- Help ensure that the Rectory provides a welcoming environment
- Welcome, greet, and assist visitors as needed.
- Answer the telephone, take messages, and/or refer caller to appropriate person.
- Reserve Mass intentions as needed.
- Support Parish Staff in carrying out their missions on behalf of the Parish
- Evaluate office equipment and technology and manage the upgrade or installation of new equipment or systems as needed.
- Provide support to Pastor, office, maintenance, and sacristy staff in regard to the ordering and purchases of goods and supplies and facilitating interactions with vendors, working in a timely fashion to resolve issues and ensure the best quality items are obtained at the most reasonable price.
- Maintain regular contact with and provide assistance to the off-site Parish Bookkeeper as requested.
- Manage Human Resource and Facilities Needs of the Parish
- Maintain all personnel records and time sheets in accord with relevant laws and Archdiocesan policies.
- Ensure that all parish staff and volunteers are in compliance with relevant Safe Environment requirements (training, clearances, background checks).
- Schedule and coordinate the use of parish buildings and grounds, ensuring that any outside groups have the necessary insurance.
- Liaise with tenants to maintain a friendly and fruitful relationship, foster a spirit of open communication and cooperation, and ensure that their needs are being met and their concerns or questions are provided with a timely response.
- Facilitate the Management of Parish Finances
- Maintain office petty cash account and Mass Stipend Account
- Deposit and record parish collections and parishioner contributions, in compliance with Archdiocesan policies and relevant laws
- Provide support for parish development and fundraising efforts and ensure that the fundraising efforts of parish organizations comply with legal requirements and archdiocesan policies.
- Maintain filings of all parish financial transactions and other records, providing copies on a regular basis to the off-site Bookkeeper.
- Provide administrative support to the Parish Finance Council as needed.
Requirements/Skills/Knowledge and/or Abilities
- Job related skills: familiarity with Catholic culture, practices, and terminology; proficiency in relevant computer programs; experience with bookkeeping, filing, and database management.
- Interpersonal skills: friendly demeanor and a willingness to serve; personal motivation and integrity; ability to handle confidential material; ability to work well with parish staff and adapt to unexpected situations or circumstances.
- Education/Experience: high school diploma or equivalent required; associates degree or 3-5 years’ experience in related field or similar position preferred
