Position Overview:
The Special Education Administrative Assistant supports the operational and compliance needs of the Special Education Department by providing vital administrative and clerical support to the Director of Special Education and case management staff. This role is critical in maintaining student records, supporting communication with stakeholders, scheduling and tracking key compliance tasks, and ensuring that all processes align with IDEA, Section 504, and applicable local and federal regulations.

Responsibilities
Specific responsibilities will include, but not be limited to:
- Maintains accurate and confidential records for students receiving special education services (IEPs, 504s, eligibility documents, evaluations, meeting notes, and behavior data)
- Provides administrative support, including calendar management, appointment scheduling, answering phones, and document preparation for the Special Education team
- Attends and records notes for meetings (IEPs, MDTs, SSTs), uploads final documents to student records, and ensures compliance timelines are met
- Facilitates communication with parents, guardians, teachers, service providers, and outside agencies as needed
- Supports data entry and ongoing updates to internal databases, trackers, and compliance tools for SPED documentation
- Assists in maintaining student behavior records and documenting intervention logs
- Collaborates with Special Education staff to prepare materials and logistics for professional development sessions and special projects
- Assists in technology-related tasks, including software used for IEP management, student services coordination, and data collection
- Supports compliance by helping to monitor deadlines and regulatory changes related to FAPE, LRE, and ADA
- Helps maintain a welcoming and organized office environment for the Special Education team and families
Qualifications
- Bachelor’s Degree (preferred)
- High school diploma (required)
- Strong organizational skills; capable of managing multiple tasks, priorities, and documentation systems
- Excellent written and verbal communication skills
- High proficiency in Microsoft Office Suite and Google Suite (Docs, Sheets, Calendar, Drive)
- Familiarity with special education law and terminology (IDEA, IEP, Section 504, transition services)
- Experience working with opportunity or justice-involved youth (preferred)
