As our organization continues to grow, we are seeking a polished, dependable, and highly organized Receptionist to serve as a key support partner to our General Manager and leadership team.

Position Overview

This role serves as both the front-facing ambassador of our office and a trusted administrative partner to leadership. The ideal candidate is poised, adaptable, and confident — someone who thrives in a fast‐paced environment, handles sensitive information with discretion, and can balance hospitality with administrative precision.

This position combines receptionist responsibilities, executive support, and human resources assistance, making it perfect for someone who enjoys variety, responsibility, and being the glue that keeps operations running smoothly.

Responsibilities

  • Serve as the first point of contact for visitors, clients, and vendors with a warm, professional presence
  • Answer and route incoming calls using a multi‐line phone system
  • Provide direct administrative support to the General Manager, including document preparation and coordination
  • Assist HR with onboarding paperwork, employee documentation, and internal communications
  • Support scheduling, internal correspondence, and basic operational requests
  • Maintain a polished, orderly, and professional reception area
  • Perform document scanning, filing, data entry, and record maintenance
  • Coordinate with internal departments, including reservations and dispatch, to support daily operations
  • Communicate effectively with team members at all levels, maintaining professionalism in occasionally high‐stress or high‐personality situations

Qualifications

  • Strong communication, interpersonal, and customer service skills
  • Ability to speak, read, and write professionally in English
  • Ability to speak, read and write professionally in Spanish is highly desired
  • Professional, composed, and dependable demeanor
  • High level of discretion and comfort handling confidential information
  • Ability to multitask and prioritize in a fast‐paced office environment
  • Intermediate proficiency in Microsoft Office
  • Typing speed of at least 50 WPM
  • Previous receptionist, administrative, or executive support experience preferred but we are willing to train the right person
  • Strong organizational skills with exceptional attention to detail
