Job description – Your mission :

The Yard & Planer Mill Coordinator is accountable for managing and maintaining all planer mill production documentation, generating and reviewing accurate milling orders, and ensuring timely invoicing and support paperwork for customers. This role includes maintaining organized filing systems, assisting with inventory counts and reconciliations, verifying lumber tallies, tag checks for product accuracy, and managing inventory data within Lumber Track. The Coordinator will arrange trucking, coordinate shipping schedules, monitor shipment departures, and ensure all loads are accompanied by proper paperwork, while supporting the Yard Supervisor with daily operational tasks. Success in this role is measured by accuracy and timeliness of work, high-quality customer service, contribution to operational efficiency, and maintaining confidentiality and integrity of customer and employee information. The ideal candidate has strong organizational skills, attention to detail, effective communication, basic computer proficiency, and experience in lumber, manufacturing, or logistics, and can thrive in a fast-paced, collaborative work environment.


Responsibilities – What you will do :

  • Preparation and maintenance of all planer mill production documents
  • Generate, review, and distribute accurate milling orders
  • Send invoices and support paperwork to customers
  • Maintain organized digital and physical filing systems
  • Locate specific inventory within the yard as requested
  • Assist with physical inventory counts and reconciliations
  • Verify lumber tallies and perform double-checks on all shipments before departure
  • Conduct tag checks to ensure product accuracy and traceability
  • Maintain accurate inventory data in Lumber Track
  • Maintain a high level of professionalism in all customer interactions in person and by telephone
  • Arrange trucking and coordinate shipping schedule
  • Ensure proper paperwork accompanies each load
  • Monitor shipment departures and update relevant teams
  • Support the Yard Supervisor with daily operational tasks
  • Participating in team meetings and continuous improvement efforts
  • All other duties as assigned

Main KPI’S – What you will be measured on:

  • Consistently produces work that is accurate and complete within established timelines
    • Shipped orders must be 99% accurate in documentation and less than 1% tag errors
    • Customer invoices must be sent within 24 hours of shipment
  • Ability to provide excellent customer service and contribute to a positive, collaborative work environment
    • Reduce shipping related negative customer feedback by 50% within 6 months
    • Respond to all Customer & internal inquiries before end of the business day
  • Contribution to operational efficiency through streamlined processes
    • All outgoing loads to be verified before departure (Tags & paperwork)
  • Confidentiality and integrity of customer and employee information
  • Responsiveness and quality of support provided to employees and management


Requirements, experience and skills :

  • Strong organizational skills and attention to detail
  • Ability to work in a fast-paced manufacturing environment
  • Strong communication skills (verbal and written)
  • Basic computer proficiency and ability to learn inventory software
  • Experience in lumber, manufacturing, or logistics preferred
