Responsibilities
- Serve as the first point of contact for visitors, clients, and incoming calls, maintaining a professional front desk presence
- Coordinate communication between departments, including engineering, operations, and management
- Schedule meetings, appointments, and manage calendars
- Maintain and organize files, records, and documentation (digital and physical)
- Assist with data entry, report preparation, and general administrative tasks
- Support purchasing activities, track orders, and maintain related records
- Communicate with vendors and assist with follow-ups
- Manage office supplies, mail distribution, and general office operations
- Assist with travel arrangements, site visit coordination, and project-related logistics
- Provide general administrative support for ongoing projects and departmental needs
Qualifications
- High school diploma or equivalent required
- 1–3 years of administrative, clerical, or front desk experience preferred
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Excellent verbal and written communication skills
- Experience in Microsoft Office (Word, Excel, Outlook)
- Ability to work in a fast-paced, team-oriented environment
- Professional demeanor and strong customer service skills
- Bilingual in Spanish is a plus but not required
- Experience in engineering, construction, or industrial environments is a plus
