Good Shepherd Services seeks an enthusiastic and organized Events Coordinator to serve as a member of the External Relations Team. Responsibilities for this engaging opportunity include assisting in the coordination of event logistics for annual fundraisers, donor cultivation, and discrete program events.
Reports To: Director of Individual Giving and Strategy
Location: 305 Seventh Avenue, New York, NY 10001
Hours: 35 hours, exempt
Salary: $55,000 - $65,000
Major Duties:
- Assist the Chief Development Officer and Director of Individual Giving and Strategy in the coordination and management of all fundraising and donor cultivation event logistics.
- Collaborate with team on all aspects of pre- and post-event correspondence including pre-solicitation materials, save-the-dates, invitations, acknowledgment letters to attendees, donors, and volunteers, etc.
- Assist in the organization and preparation of all event-related mailing lists
- Create and manage event-related ticketing webpages on Classy
- Coordinate event-related social media plan and execution with Senior Communications Manager
- Coordinate event-related vendor contract review with Legal Division
- Ensure COIs are obtained from Compliance and Risk Management team
- Process event invoices and maintain expense tracking.
- Maintain detailed information on all event-related income
- Maintain detailed information about event attendees, sponsors, volunteers, and in-kind donors.
- Inventory, order, and prepare event supplies and materials.
- Confirm all event details information with guests including payment, attendance, and/or special needs.
- Support on-site event preparations.
- Assist and support the events committee of SpringBoard, GSS’ junior board, on all their event-related needs.
- Coordinate and solicit items for event gifts, auctions, raffles, and in-kind donations.
- Identify opportunities to introduce new events to GSS
- Perform any other department or organizational duty as assigned by the supervisor.
- As a member of the External Relations team, participate in special departmental projects as needed.
Qualifications:
- Bachelor’s degree required
- Minimum 2-3 years of related experience; prior event planning, customer service, or experience in a related field is highly desirable.
- Experience using Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Ability to work well in a collaborative team environment
- Database experience a plus.
- High standard of organization, prioritization and attention to detail.
- Ability to learn quickly and manage time effectively and efficiently.
- Basic graphic design and Canva skills a plus
- Knowledge of basic marketing and promotional strategies preferred
- Ability to multi-task, prioritize, and problem-solve in a fast-paced work environment.
- Diplomacy and excellent judgment.
- Self-starter with a positive and engaging demeanor and a good sense of humor.
- Ability to work select extended hours on evenings and weekends as events require.
