Pay Rate:

Position Summary
The Executive Assistant provides high-level administrative support to the Market President of Our Lady of the Lake Hospital. This role is responsible for coordinating projects, managing executive communications, scheduling, and ensuring the smooth operation of the executive office. The Executive Assistant performs advanced administrative functions requiring discretion, confidentiality, independent judgment, and a comprehensive understanding of organizational policies and procedures.
Key Responsibilities

Provide direct administrative support to the Market President, including calendar management, meeting coordination, and travel arrangements.

Prepare correspondence, presentations, reports, and meeting materials with accuracy and professionalism.

Screen and prioritize incoming communications, including phone calls, emails, and requests, ensuring timely responses.

Coordinate projects and special initiatives as directed by the Market President, ensuring deadlines and deliverables are met.

Support executive-level meetings by preparing agendas, recording minutes, and tracking action items.

Maintain confidential files, records, and sensitive information with the highest level of discretion.

Serve as a liaison between the executive office and internal departments, external stakeholders, and community partners.

Assist with budget tracking, invoice processing, and expense reporting for the executive office.

Manage office operations, including supplies, scheduling, and administrative processes.

Uphold the mission, vision, and values of Franciscan Missionaries of Our Lady Health System in all interactions.

Perform other duties as assigned to support executive leadership and organizational priorities.
Qualifications
Required:
-
Associate degree in Business Administration, Office Management, or related field; or equivalent combination of education and administrative experience.

Minimum of 3 years of executive-level administrative support experience.

Strong organizational and project management skills with the ability to multitask and prioritize effectively.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.

Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism.
Preferred:
-
Bachelor’s degree in Business Administration, Communications, or related field.

Experience in healthcare or hospital administration.

Familiarity with executive-level protocols and corporate governance.
