Job Description

We are seeking a Receptionist to join our team. The ideal candidate will have strong experience in front desk operations, clerical support, and Microsoft Word and Excel and a proven ability to manage inquiries, maintain records, and support daily office workflow with accuracy.


Responsibilities:

  • Greet and assist members and visitors in accordance with established procedures.
  • Answer telephone calls, provide routine information on agency services, and redirect calls as needed.
  • Prepare correspondence, forms, files, and reports for processing, storage, or forwarding using Word and Excel.
  • Receive, open, date-stamp, investigate, assign, and distribute incoming mail, messages, and packages.
  • Scan documents into the Captiva system and index by envelope category, document category, and document type.
  • File materials per prescribed classification systems and retrieve records as requested.
  • Search and recover information from computer systems to respond to inquiries or requests.
  • Post information to logs, spreadsheets, records, or computer systems per procedures.
  • Operate and provide basic instruction on standard office equipment including copiers, postage machines, fax machines, printers, telephones, mail openers, and TTY equipment.
  • Review forms, applications, documents, and correspondence for accuracy and completeness.
  • Provide information on meetings, schedules, appointments, and cancellations orally or in writing.
  • Prepare and submit requisitions and maintain supply inventory per procedures.
  • Compile data for office and agency reports and support inter and intra office communications via email.
  • Perform computer tasks to create letters, emails, spreadsheets, charts, lists, and memoranda.
  • Maintain and update daily activity logs to track assignments and workflow.
  • Assist in developing production schedules, performance standards, quality controls, and procedures to improve operations.
  • Coordinate leave, breaks, lunches, coverage times, and duty hours to ensure front desk coverage in a team setting.
  • Perform other duties as required.

Required Skills & Qualifications:

  • Proficiency with Microsoft Word and Excel and comfort with computer-based lookups and data entry.
  • Knowledge of standard clerical practices including filing, record keeping, correspondence control, and business letter preparation.
  • Ability to read, write, and comprehend English with proper grammar, punctuation, and spelling.
  • Strong attention to detail with names, numbers, codes, and symbols and ability to follow written and oral instructions.
  • Effective oral communication and ability to provide courteous, tactful customer service in a fast-paced, front-facing environment.
  • Skill in operating general office equipment such as photocopiers, telephone systems, postage meters, calculators, shredders, and similar devices.
  • Ability to maintain accurate records and file materials per standard procedures.
  • Ability to exercise sound judgment and work effectively within a team environment with shared ownership of tasks.
  • Ability to lift at least 35 pounds.

Preferred Skills:

  • Experience with Captiva or similar document imaging and indexing systems.
  • Bilingual abilities in Spanish or Haitian Creole.


Minimum Entrance Requirements:

Applicants must have at least: (A) three years of full-time, or equivalent part-time, office experience, or (B) any equivalent combination of the required experience and the substitutions below.

  • A diploma from a recognized high school or vocational/technical high school commercial or business course may substitute for up to one year of experience.*
  • A diploma from a course other than commercial or business, or a Massachusetts high school equivalency certificate, may substitute for up to eight months of experience.*
  • A one-year, full-time program diploma from a recognized non-degree granting business or secretarial school above high school may substitute for up to one year of experience.*
  • A two-year, full-time program diploma from a recognized non-degree granting business or secretarial school above high school may substitute for up to two years of experience.*
