We are a medical research facility providing medical evaluation and follow-up for those participating in clinical trials. The Clinical Research Finance & Billing Specialist will oversee and manage all billing functions related to our clinical trial contracts. This role is critical to ensuring timely and accurate invoicing based on complex clinical trial visit schedules, milestone achievements, and pass-through expenses. The idea candidate will have a strong background in accounts receivable, contract billing and be highly proficient in Excel.
About the work:
- Prepare and submit invoices based on patient visit completions, contractual milestones, and pass-through expenses.
- Maintain and update complex billing spreadsheets that track patient visits and billing triggers.
- Review clinical trial contracts and budgets to understand billing terms and ensure compliance.
- Track and reconcile accounts receivable; follow up on outstanding payments when necessary.
- Collaborate with clinical operations, finance, and sponsor representatives to resolve billing questions or discrepancies.
- Assist in financial reporting related to billing and revenue forecasting.
- Maintain organized documentation and audit trails for billing activities.
- Manage and track patient stipend and mileage payments through bank Positive Pay system
- Work closely with the accounting department.
- Other duties as assigned.
About you:
- Bachelor’s degree in Accounting, Finance, Business, or related field (or equivalent experience).
- 3+ years of experience in billing, accounts receivable, or financial operations (clinical research billing experience strongly preferred).
- Advanced Excel skills, including formulas, pivot tables, and data analysis.
- Exceptional attention to detail and accuracy.
- Strong critical thinking and problem solving skills
- Ability to work independently, manage multiple projects, and meet deadlines.
- Excellent written and verbal communication skills.
- Preferred experience with clinical trial management systems (CTMS) or financial tracking tools.
- Preferred familiarity with industry terminology and regulatory requirements related to clinical trials.
- Strong understanding of clinical trial agreements, visit-based billing, and milestone payments preferred.
- Prior experience working in a CRO, site, or sponsor environment is a plus.
- Banking background is a plus.
