Job DescriptionWe are looking for an Administrative Assistant to support dispatch and field operations for a multi-skilled crew in Garland, Texas. This Long-term Contract position focuses on coordinating schedules, organizing resources, and helping ensure job assignments align with customer expectations and transportation compliance standards. The role works closely with regional leadership to communicate work plans, maintain scheduling accuracy, and keep equipment and tools ready for upcoming assignments.

Responsibilities:
• Coordinate daily scheduling activities for field crews and help align labor resources with active job requirements.
• Provide backup support for dispatch operations by assisting with job assignments, crew coordination, and schedule updates.
• Communicate assigned work details to regional leadership and team members to ensure clear execution of planned activities.
• Arrange equipment, rental assets, and tools based on project needs and confirm availability before deployment.
• Track maintenance timing for company-owned and rented equipment to support safe and efficient operations.
• Maintain schedule calendars and administrative records with accurate, up-to-date information.
• Enter and update timesheets, time entries, and other operational data in a timely and organized manner.
• Support office administration tasks that contribute to smooth coordination between field teams and internal departments.• Experience in administrative support within an office, dispatch, logistics, or operations environment.
• Strong data entry skills with a high level of accuracy and attention to detail.
• Ability to manage schedules, calendars, and multiple priorities in a fast-paced setting.
• Background processing timesheets, time entries, or related workforce records.
• Effective communication skills for working with leadership, field personnel, and cross-functional teams.
• Proficiency with standard administrative office systems and digital recordkeeping tools.
• Ability to stay organized while coordinating equipment, resources, and job-related documentation.
