Qualifications:
• Experience: A minimum of 3 years providing direct support to a CEO or C-suite executive,
• Experience in hospitality or manufacturing field preferred.
• Skills: Exceptional organizational, multitasking, and prioritization abilities; high-level written and verbal communication skills; proficiency in Microsoft Office Suite and other relevant software.
• Salesforce experience is a plus.
• Attributes: Strong interpersonal skills, professional demeanor, proactive problem-solving abilities, and the capacity to work effectively under pressure.

Description
The role of the Executive Assistant and Admin at Source Direct plays a crucial role for endorsing Company Culture, ensuring the smooth operation of the CEO and Leadership Team by providing support to them. The Executive Assistant and Admin needs to be organized, adaptable, and proactive to meet the diverse needs of the CEO and its Leadership Team. Their support is essential for maintaining efficiency and facilitating the work of all team members.
Job description
Key Responsibilities:
• Executive Support: Manage the CEO's calendar, schedule appointments, and coordinate meetings to ensure efficient time management.
• Communication Management: Serve as the primary liaison between the CEO and internal/external stakeholders, handling correspondence, screening calls, and responding to inquiries with discretion.
• Document Preparation: Prepare and review reports, presentations, and other documents for meetings and department communications as needed.
• Project Management: Oversee special projects, ensuring timely execution of critical tasks aligned with organizational objectives.
• Event Planning: Organize and coordinate company events, and other executive functions, managing logistics and materials.
• Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
• Travel Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation, ensuring all logistics are seamless. (Inclusive of all Source Direct teams who travel)
• Staying current with industry trends and best practices.
• Ability to troubleshoot basic IT issues and coordinate with the IT department.
Administrative support:
· Organizing and maintaining physical and digital filing systems.
· Managing and prioritizing CEO and Leadership Team calendars (Inclusive of Director of Estimating, Director of Operations and Project Management and Director of Sales and Marketing), scheduling meetings, and coordinating appointments.
· Handling phone calls, emails, and other correspondence, and routing them to the appropriate staff members.
· Drafting and proofreading documents, reports, and presentations.
Office Operations:
· Overseeing day-to-day office operations, including procurement of office supplies, snacks and equipment.
· Managing office budgets and expenses, travel expenses, and ensuring cost-effective purchasing.
· Implementing and maintaining office policies and procedures.
Customer and Client Relations:
· Communicating with customers, clients, and suppliers as needed or requested by CEO and Leadership Team.
· Handling inquiries, resolving issues, and maintaining positive relationships.
Special Projects:
· Taking on additional projects and tasks as directed by CEO and Leadership Team.
· Conducting research, preparing presentations, and performing ad-hoc assignments.
· Scheduling and Follow-ups support.
