SUMMARY:
Trains, supervises, and coordinates activities of Front Office Assistants (FOAs) in designated county. Implements UIHS and Medical Department Policy and Procedures under the direction of the Clinic Manager by performing the following duties
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Level I
- Understands and complies with HIPAA and other regulations concerning client confidentiality.
- Greets clients in a courteous and friendly manner. Customer service skills to include listening closely to clients, provides clear verbal communication, ability to empathize with client, and understanding of organizational protocol and guidelines.
- Must be able to address client complaints and can de-escalate client and employee intersections.
- Assists with site review preparation.
- Responsible for site orientation and training of staff. Evaluates progress through use of skills checklist and feedback from staff and Providers.
- Responsible for completing annual employee evaluations and competency lists.
- Monitors daily functioning of Medical Clinic support staff.
- Assists in analysis of client flow to improve efficiency and client care. Communicates with Medical Assistant Supervisor, Nurse Supervisor, Lab Manager, Clinic Manager, and front office staff to coordinate schedule changes with staffing needs and procedure scheduling.
- Must enter scheduling templates into the electronic health system.
- Ability to run reports.
- Scans, enters, and distributes client records.
- Sorts and distributes incoming mail. Codes and submits invoices to the appropriate person.
- Facilitates open communication between Front office operations and other staff.
- Investigates and resolves complaints concerning FOAs.
- Inspects front office areas and adjacent lobbies for cleanliness and organization. Ensures all fliers, client information is up to date. Updates clinical licensure board.
- Assists with monthly Safety Meetings as needed. Assists in implementation of OSHA regulations and trainings.
- Reviews scheduling reports for completeness and provides feedback and education to staff.
- Performs daily Front Office Assistant duties as needed.
- Assists Clinic Manager in preparing for inspections and required department reviews.
- Maintains a professional, organized, and clean working environment by following organizational policies, guidelines, and safety standards.
- Assists in development of departmental policy, procedures, and quality improvement activities within the clinic as directed.
- Responsible for managing inventory and ordering of office supplies.
- Oversight of GSA vehicles and client medications at outlying sites.
- Communicates emergent situations to appropriate staff or authorities. Calls codes when appropriate.
- Notifies Clinic Manager to any provider schedule changes.
- Must be willing to learn more about the American Indian culture and attend at least one Cultural Presentation/Training per year.
- Must be willing to work with American Indian/Alaska Native people and demonstrate cultural awareness and humility
- Must be willing to deliver services in a culturally responsive manner.
- Adheres to accreditation and compliance standards/guideline
- Other duties may be assigned.
Level II – In addition to the above-mentioned duties
- Has the ability to develop reports within the electronic health record system and other reports as needed.
- Cross trained to perform limited Medical Assistant duties.
- Cross trained to perform limited client registration duties.
SUPERVISORY RESPONSIBILITIES:
- Directly supervises FOA staff in daily operations.
- Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
- Responsible for discipline, following UIHS procedure and positive acknowledgement of staff.
- Carries out medical clinic coordination and day-to day operations of medical clinic in cooperation with Medical Assistant Supervisor, Clinical Nurse Supervisor, and Clinic Manager.
- Responsibilities include:
- Interviewing, hiring and training of Front Office staff.
- Assisting with planning, assigning, and directing workflow.
- Providing performance evaluations, rewarding, and disciplining, addressing complaints, and resolving problems

EDUCATION/EXPERIENCE: Educational degrees must be from a US Department of Education accredited school
Level I
- High School diploma or equivalent.
- Must have at least three (3) years medical front office assistant experience.
- Prefer to have at least two (2) years’ experience in a supervisory position.
Level II In addition to level I requirement:
- Have four (4) years of experience as a Front Office Assistant in a clinic setting or equivalent.
- Have four (4) years of clinical supervisory experience.
- Basic Medical Assistant (MA) training.
- Basic client registration training.
COMPUTER OPERATIONS:
- Proficient computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
- Must be able to learn an Electronic Health Records (EHR) system.
- Experience with electronic health records preferred.
LANGUAGE SKILLS:
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Ability to communicate verbally and in writing.
