Position Overview

Ultimate Staffing Services is actively seeking a Senior Administrative Coordinator to join their client's dynamic team in California. This role provides comprehensive support covering a wide range of responsibilities from finance and administration to vendor coordination and special projects. The ideal candidate will be highly organized, proactive, and capable of thriving in a fast-paced, evolving environment.

Responsibilities

  • Process vendor invoices, purchase orders, and credit card statements.
  • Pull and generate reports.
  • Schedule meetings, prepare agendas, and track deadlines and action items.
  • Organize digital files, order supplies/catering, and manage contact lists.
  • Monitor emails and social media for issues needing follow-up.
  • Coordinate with vendors (print, signage, etc.) and update website content (no coding required).
  • Migrate content to SharePoint/intranet and the new city website.
  • Track and respond to inquiries, including email opens and site traffic.

Qualifications

  • Strong Microsoft 365 skills (Outlook, Excel, Teams, SharePoint).
  • Excellent attention to detail and follow-through.
  • Reliable, resourceful, and able to manage multiple tasks independently.
  • Good judgment, tact, and ability to adapt to change.
  • Open to feedback and thrives in a dynamic team environment.

Bonus Skills

  • Experience with content management systems, online form apps, or databases.
  • Familiarity with AI tools for efficiency.

Required Work Hours

Monday to Friday, during regular business hours.



Benefits

Enjoy a competitive pay range with a minimum of $35 per hour and a maximum of $38 per hour.
