We are seeking a highly organized and proactive Executive Assistant to support our CEO and other executives in a fast-paced environment. We are a software engineering company that specializes in AI. The ideal candidate will possess exceptional administrative skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring smooth operations and effective communication within the organization.
Travel

This job requires 25% travel in the US and abroad, mostly Europe.
Remote vs On-Site

Must be on-site in the San Francisco office when the CEO is in the office.

Otherwise, must be on-site minimum 3 days per week if CEO is not in the office.
On Call

Must be available 24/7 remotely to answer emails and respond to requests.
Duties

Provide comprehensive executive administrative support, including managing schedules, appointments, and travel arrangements.

Maintain and organize executives’ calendars, ensuring all meetings and commitments are prioritized effectively.

Prepare and edit correspondence, reports, and presentations with a high level of accuracy and professionalism.

Assist in event planning and coordination for internal and external meetings, conferences, and special events.

Conduct research and prepare briefing materials for meetings, ensuring executives are well-informed on relevant topics.

Act as a personal assistant to the CEO by managing personal tasks as needed while maintaining confidentiality.

Serve as a liaison between the executives and other departments, clients, or stakeholders to facilitate communication.
Qualifications

Proven experience in an executive administrative support role or similar position.

Strong organizational skills with the ability to prioritize tasks effectively.

Excellent written and verbal communication skills with proficiency in proofreading documents.

High level of computer literacy with proficiency in Google Apps and other relevant software applications.

Experience in event planning is mandatory.

Ability to work independently while being a collaborative team player.

Strong attention to detail with a commitment to delivering high-quality work.

Ability to independently and quickly find solutions to problems.
