Knowledge and skills required for the position are:

JOB SUMMARY
RMS Inc. is looking for an Operations Administrative Assistant to join our team.
The Operations Administrative Assistant position provides administrative and operational support with responsibilities covering a wide array of activities. This position supports many current and new developing tasks and/or projects. This position is an on-site Full-Time 40+ hours a week at our Plant Processing Machine Works Facility.
JOB REQUIREMENTS AND QUALIFICATIONS

<li>Answer phone calls.</li>
<li>Greet customers/vendors when they come to shop.</li>
<li>Document Control and email correspondence filing.</li>
<li>Receive and enter timecards into JobBOSS.</li>
<li>Receive employee PTO requests and facilitate entry in ADP.</li>
<li>On a weekly basis review JobBOSS reports with Director of Operations and upload to SharePoint accordingly.</li>
<li>Save copies of field timesheets to job files.</li>
<li>Review and provide location specific reporting.</li>
<li>Assist with Customer packing lists/shipping documents.</li>
<li>Make copies for job files.</li>
<li>Manage all shipping and receiving documents along with the pending folders.</li>
<li>Receive packing lists and ensure that someone has reviewed/approved the shipment and then receive it in JobBOSS. Make any notations if everything was not received.</li>
<li>Save copies of Tickets/POs to respective job folders.</li>
<li>Receive customer orders or new sales orders written/verbal.</li>
<li>Open/assign job numbers.</li>
<li>Create job folders and shop traveler/work packet. Hang the job packet on the job board.</li>
<li>Create daily open jobs report and distribute.</li>
<li>Once the job is shipped/completed, ensure all documents are in job folder.</li>
<li>Assist and coordinate safety training with HR/Safety as well as 3rd party providers.</li>
<li>Coordinate paperwork for safety drug testing as needed.</li>
<li>Assist field and shop operations including Director of Operations.</li>
<li>Order office supplies and maintain the supply inventory.</li>
<li>Take Manager and ISO Meeting Minutes</li>
</ul>

ESSENTIAL FUNCTIONS:
The Warehouse Supervisor will be responsible for ensuring effective operations to support our growth and rapid scale-up. This individual should have expertise in transportation and warehouse operations, shipping, receiving, distribution, inventory management, warehouse SOP execution, safety protocols and people management. 
Hire, train, develop, and appraise team members effectively. Takes corrective action as necessary on a timely basis and in accordance with company policy. Consults with Human Resources as appropriate. 
Create a productive department through written and verbal communication. 
Provide leadership through effective communications, coaching, training, and development. 
Safety of warehouse staff and assure that everyone is complying with safety regulations. Keep all aisles and fire exits clear. Once a month safety meetings and inspections. 
Advises on labor issues including safety, security, employee relations, scheduling, training, grievances and the like. 
Help create a healthy environment to promote teamwork, allow employees to voice out any concerns or suggestions. 
Ensures duties, responsibilities, and authority and accountability of all direct subordinates are defined and understood. 
Manage compliance with state and federal regulations including OSHA 
Manage effective Inventory Control and provide for accurate reporting by monitoring reports to ensure that the warehouse team members are following proper procedures when processing transactions 
Ensure accurate processing of all purchase order paperwork 
Responsible for overall warehouse cleanliness 
Assure that the warehouse is maintained clean, orderly and set up in a way that offers the best efficiency for operating. 
Inspections of jobs and/or projects assigned to staff, to make sure they are being done as we expect them. 

Required Education and Experience: BS/BA in Business Administration or Business Management or equivalent combination of education and experience. 
3-5 years of experience in warehouse operations, with at least 3 years in a supervisory role 
Leadership: Demonstrated ability to lead people and get results through others. 
Planning: Ability to think ahead and forecast.
