POSITION: Environmental and Open Space Program Coordinator
REPORTS TO: Planning and Development Director
FSLA STATUS: Non-exempt

POSITION SUMMARY:
Under the direction of the Planning and Development Director, the Environmental and Open Space Program Coordinator supports Association activities and programs, including Fire Watch contract management, specified vegetation management, open space and natural resource management, grant writing and management, as well as general analytical support. The Environmental and Open Space Program Coordinator is responsible for generally overseeing and coordinating various environmental programs, projects, and initiatives, ensuring they are executed efficiently, effectively, and in accordance with the direction of the Planning and Development Director and established Association goals and objectives. This role will require strong analytical skills, organizational skills, excellent communication and coordination abilities, teamwork, a keen attention to detail and a passion for providing excellent service to the community. 
ESSENTIAL FUNCTIONS:
General Program Coordination
Under the supervision of the Planning and Development Director, 
<ul>
<li>Coordinate permitting requirements for a variety of natural resources associated with activities of the Association.</li>
<li>Collaborate with internal and external partners to develop, implement, and manage programs and projects, ensuring alignment with organizational goals and objectives, and as directed.</li>
<li>Provide general analytical support, including data analysis, research, and performance tracking, to inform program development and decision-making.</li>
<li>Prepare and deliver staff reports, presentations, and other communications to stakeholders, senior management, and Association Boards and Committees. </li>
<li>Coordinate and communicate with internal and external stakeholders to ensure smooth program implementation, including scheduling meetings, preparing materials, and providing timely updates and authorization for allocation of resources.</li>
<li>Provide excellent service to members and respond to inquiries, complaints, and feedback in a timely and professional manner.</li>
<li>Develop and implement programming and educational opportunities involving the Association’s open spaces and parks</li>
<li>Support and manage projects impacting the Association’s open space and parks</li>
</ul>
Fire Watch Contract Management and Vegetation Management Coordination
<ul>
<li>Manage the Association Fire Watch program, including coordinating with relevant stakeholders, managing resources, and monitoring outcomes.</li>
<li>Prepare the scope of work for various contracts for environmental purposes.</li>
<li>Provide support and guidance to staff, contractors, and other stakeholders on vegetation management best practices.</li>
<li>Represent the Association in conferences and other technical meetings as appropriate to carry out the responsibilities and initiatives of the Association, with prior approval by the Director of Planning &amp; Development.</li>
<li>Participate in the Community Wildfire Protection Plan on behalf of RSFA.</li>
<li>Supports Fairbanks and Rancho Santa Fe Fire Safe Council and attends monthly meetings.</li>
<li>Coordinate and maintain regular contact with the Rancho Santa Fe Fire Protection District and other agencies with fire management responsibilities for Rancho Santa Fe</li>
<li>Participate in and support the Association emergency management preparation and response</li>
</ul>
Environmental Conservation and Permitting
<ul>
<li>Coordinate permitting requirements for Association bodies of water and other environmental resources.</li>
<li>Support activities for environmental and natural resource management for Association owned and managed open space including the Arroyo and Ewing Preserve. </li>
<li>Coordinate permitting and other regulatory requirements for environmental resource management, including vegetative fuel reduction projects, habitat restoration activities, and conservation practices.</li>
</ul>
Grant Management
<ul>
<li>With oversight by the Director of Planning and Development, apply, manage and oversee grants, including identifying grant opportunities, preparing grant applications, and managing grant budgets, reporting, and resource requirements, as approved by the Board of Directors.</li>
<li>Maintain accurate scopes and up-to-date records of all grant proposals, submissions, obligation schedule, and outcomes.</li>
</ul>
COMPETENCIES:
<ul>
<li>Bachelor's degree in public administration, forestry, horticulture, environmental science, business, management, or related field. Advanced degree preferred.</li>
<li>Proven experience in program coordination, including grants coordination and data analysis, with a track record of successful plan implementation and outcomes.</li>
<li>Experience with grant writing, and monitoring operational planning, fiscal controls, budget management tools.</li>
<li>Strong analytical skills, with the ability to analyze data, identify trends, and make data-driven recommendations.</li>
<li>Excellent organizational and time management skills, with the ability to manage multiple plans and projects simultaneously.</li>
<li>Contract oversight, including scope of work development, budgeting, and risk management. </li>

 The Marketing and Development Associate will work closely with the Executive Director &amp; Digital Marketer to support the overall fundraising, marketing, for the organization. They will be responsible for using the branding guidelines to develop social media, website, and print materials and templates to support the staff. Development/Marketing Associate

Senior Development Manager Queens Botanical Garden is an urban oasis where people, plants and cultures are celebrated through inspiring gardens, innovative educational programs, and demonstrations of environmental stewardship. 
About This Opportunity
The Senior Development Manager will raise critical funds for Queens Botanical Garden primarily through grant writing, individual giving, and special events to support the growth of the Garden’s annual operating budget. They are a key member of the Garden’s four-person Development team. The ideal candidate will be an experienced fundraiser capable of managing multiple projects and deadlines at the same time. They will be an exceptional writer, a strong project manager, and a passionate champion for QBG’s work to offer environmental education programs, cultural experiences, and a healthful green space to Queens residents, all New Yorkers, and visitors. They will be comfortable communicating verbally and in writing with institutional donors, individual donors, Trustees, gala attendees, and QBG Members. The Senior Development Manager reports to the Director of Development and supervises the Membership Coordinator. 
Responsibilities include: 
Institutional Giving and Grant Writing
<ul>
<li>Grow the Garden’s institutional giving by writing compelling grants and proposals to active and prospective donors in the Senior Development Manager’s pipeline, including foundations, corporations, and government funders</li>
<li>Manage relationships with a pipeline of active and prospective donors, including conducting donor outreach, maintaining registrations in donor application portals, coordinating site visits, and overseeing the delivery of recognition and sponsorship benefits</li>
<li>Work with the Finance Department and other QBG Staff to ensure adherence to the unique specifications of each donor; generate reports for donors </li>
<li>Manage QBG’s Institutional Giving calendar</li>
<li>Work with Director of Development and other QBG Staff Members to identify new projects in need of funding </li>
<li>Work with Institutional Giving Coordinator to identify and review prospects </li>
</ul>
Individual Giving
<ul>
<li>Generate mailing lists for Annual Appeal and other individual fundraising campaigns and work with external mail house to execute mailings</li>
<li>Support the Director of Development in the management and execution of existing individual giving vehicles, including the Adopt-A-Tree and Adopt-A-Garden program, and the generation of new individual giving campaigns </li>
<li>Strategize with the Director of Development to meet and exceed Individual Giving revenue goals </li>

Membership
<ul>
<li>Supervise the Membership Coordinator</li>
<li>Strategize with Director of Development, Membership Coordinator, and other members of the QBG staff to meet and exceed Membership revenue goals</li>

Special Events
<ul>
<li>Manage all event planning aspects for the Garden’s annual June fundraising event, Rambling Rose Gala, including generating mailing lists; working with event vendors; corresponding with event sponsors; overseeing event budget; and collaborating with QBG operations staff to execute event onsite at the Garden</li>
<li>Strategize with the Director of Development to meet or exceed fundraising event revenue goals, including the potential to develop and implement new special event(s)</li>
</ul>
General Duties
<ul>
<li>Be involved in Garden-wide initiatives, such as strategic planning</li>
<li>Take minutes at four annual QBG Board Meetings; compile and distribute quarterly Board Meeting packets </li>
<li>Other duties as necessary </li>
</ul>
Qualifications:
<ul>
<li>Bachelor’s degree, plus at least five years of professional experience in non-profit fundraising, preferably at a cultural institution, public garden, parks organization, educational organization, or related field</li>
<li>Proven track record of successful fundraising in institutional and individual giving; experience managing fundraising events is a plus </li>
<li>Exceptional leadership, writing, and organization skills; strong attention to detail </li>
<li>Proficiency with the Microsoft Office Suite</li>
<li>Knowledge of fundraising databases; familiarity with DonorPerfect is a plus</li>
<li>Interest in, and knowledge of funders who support cultural organizations, sustainable practices, farms, public gardens, and museums highly desired</li>

Schedule:
This is a full-time, exempt position with weekly on-site work, and some flexibility to work remotely.
