The Marion County Health and Human Services Department is in search of an experienced clerical professional to join our team as an Office Specialist 3 within Adult Mental Health Services. The ideal candidate will have both a clear understanding and high level of skill in clerical functions including; Immediate/advance level in Word and Excel including extracting and manipulating data, attention to detail, organization skills, ability to make independent judgments, effective communication, promote team work and excellent customer service. You will serve as a back-office support and help to promote a positive environment for the department, as you work closely with key staff to meet program goals and guidelines. GENERAL STATEMENT OF DUTIES Performs administrative support activities of a complex or technical clerical nature, which requires advanced skills, independent judgment and discretion; acts as lead worker of a specific clerical function overseeing the work of others; and performs other related duties as assigned.
SUPERVISION RECEIVED Works under the general supervision of a supervisor/manager or professional employee, who assigns work, establishes goals, and reviews results obtained for compliance with department and program policies, procedures and goals.
SUPERVISION EXERCISED Supervision of other employees is not a responsibility of positions in this classification; however, exercises lead direction over other clerical or office staff.
Typical Duties - Duties include, but are not limited to the following
Clinical/Administrative Support 
<ul>
<li>Provides administrative assistance to program and clinical supervisors and clinical staff.</li>
<li>Assists clinical supervisors with highly confidential and sensitive personnel issues, recruitment processing, re-classification studies, opening of new positions, processing of performance evaluations, and other personnel concerns.</li>
<li>Consults with clinical supervisors to coordinate and monitor implementation of projects; interprets and acts as resource on program policies and procedures.</li>
<li>Acts as primary support staff to process subpoenas requests, following Marion County Health and Human Services Department subpoena policy.</li>
<li>Oversees and facilitates confidential record request(s) per HIPAA requirements from outside agencies. Performs flow of record requests from receipt, logging, clinical/supervisor oversight and approval (if needed) to the photocopying and preparing confidential record request mailing/invoicing.</li>
<li>Recalls records from archiving. </li>
<li>Uses problem-solving methods to make system improvements and support clinical staff with caseload management.</li>
<li>Runs report to monitor intake enrollments for correct insurance data weekly. Initial billing information has already been faxed by Centralized Intake (CI) staff to the Billing Team for set up of coverage screens. May double check insurance information in the Medicaid Management Information System (MMIS).</li>
<li>Runs, tracks, updates and distributes reports.</li>
<li>Verifies release of information (ROIs) forms and updates information in electronic health record (EHR), as needed.</li>
<li>Acts as liaison with the billing team to resolve data entry/billing issues.</li>
<li>Scans, uploads and names (using designated naming convention) documents into the EHR. </li>
<li>Updates information of individuals in service (i.e. change of address, phone numbers, emails, PCPs, etc.)</li>
<li>Serves as floor monitor.</li>
<li>Creates and maintains Excel spreadsheets, Word documents, presentations, etc. as requested.</li>
<li>Assists with creating policies and procedures, as requested. Prepares and distributes updated organizational policies and procedures.</li>
<li>Assists with onboarding of new staff.</li>
<li>Schedules/coordinates meetings and conferences. Sends reminder notices for upcoming meetings/events.</li>
<li>Assists with setup of telehealth video platform accounts (i.e. Dr Cloud Zoom).</li>
<li>Shares responsibility for the following: creating and maintaining phone lists and staff names on mailboxes and in/out board, maintaining and resolving problems/issues with county/state cars, setting up video meetings as requested, picking up and distributing faxes, sending reminder notices for upcoming meetings/events, setting up laptops/equipment for groups/meetings, maintaining supply of paper in machines (i.e. copier, fax, etc.), scheduling/coordinating meetings and conferences, and maintaining lockbox for purchasing card and office keys.</li>
<li>Acts as notary representative for staff.</li>
</ul>
Fiscal Duties/Payroll
<ul>
<li>Oversees petty cash and related records.</li>
<li>Receives cash/checks for the department, reconciles and submits bank deposits per cash control policy.</li>
<li>Reconciles receipts/log of payments and deposits per cash control policy.</li>
<li>Processes, audits and submits bi-monthly payroll for ABH. (Includes proofing for errors, facilitating corrections on initial timecard, obtaining supervisor signatures, submission to administration. Also responsible for corrections after submission with both staff and supervisors). Distributes electronically and audits bi-monthly time sheets.</li>
<li>Distributes paychecks/deposit vouchers and maintains confidentiality.</li>
</ul>
Purchasing Agent/Accounts Payable and Receivable
<ul>
<li>Orders primary office supplies from Office Depot using designated purchasing card using the on-line ordering system. Tracks and maintains needed office supplies. Enters purchase information into Works, submits summary monthly and checks for completeness and supervisor's signature on order request (or approval/authorization form) and monthly report. Submits to direct supervisor for their sign off in Works.</li>
<li>Process requests and reimbursement requests for staff training using Pcard.</li>
<li>Completes purchase requisition form for other department supply orders and submits to accounts payable.</li>
<li>Orders printing orders, business cards, forms, books/magazines/education materials, as requested. Assures that items are priced correctly, charged to the proper cost center/account number, then routed to administration for payment. Signs off and submits bills for payment.</li>
<li>Discusses with clinical/program supervisor any problems with any of the payables.</li>
<li>Serves as contacts for P-cards at Silverton Rd Ste B. Signs in and out P-cards to staff and supervisors.</li>
</ul>
Other Duties
<ul>
<li>Provides secretarial support function for program manager, program supervisor, senior office manager, and office manager.</li>
<li>Runs monthly reports from Electronic Health Record (EHR) and distributes electronically to supervisors and staff as requested for all Adult Behavioral Health Programs/Stepping Stones/Horizon House. Runs reports/queries (i.e. open encounter, annual review and caseload reports) to ensure accuracy and proper billing of data entered by clinical staff in BH service areas of ABH and Stepping Stone/Horizon House.</li>
<li>Performs data entry.</li>
<li>Assists with front desk back up and reminder calls, as needed.</li>
<li>Provides reception and medical records assistance.</li>
<li>Track and maintain equipment list for ABH.</li>
<li>Primary contact that facilitates scheduling of Pre-Admission Screening Resident Reviews (PASRRs) between nursing/medical facilities and evaluators. Facilitates scheduling of PASRRs between nursing/medical facilities and evaluators. </li>
<li>Submits PASRR reports to Office of Mental Health and Addictions Services (OMHAS) according to Oregon Administrative Rules (OARs).</li>
<li>Performs other job duties as assigned by supervisor.</li>
</ul>
Response Level 2: In the event of an emergency, employee makes a reasonable effort to report to work. Employee may be required to perform duties outside of their regularly assigned duties. Employee may be requested to work an extended or flexible schedule. Staff at this response level must complete Incident Command System 100 and 700 on-line or in-person training.

The Aloft Raleigh is looking for a Front Desk Manager who will be responsible for ensuring smooth and efficient operations at the front desk area of the hotel, ensuring exceptional guest service and smooth check-in/check-out processes. They will lead a team of front desk staff, providing guidance, training, and support to maintain high standards of performance. Supervisory Responsibilities:

Job Overview
The role of the Front Desk Manager / Guest Service Manager is to manage all aspects of the front office, for example guest registration, bell services, business center, telephone services, concierge services, and guest reservations to deliver a guest experience that is unique and brings the brand to life.
 The role requires an in depth understanding of the hotel industry, the local area and the key drivers of guest satisfaction. The delivery of “Uncompromised Service” begins at the front desk and the Front Desk Manager is responsible for managing all aspects of the front desk and its staff. Examples include guest registration, bell services, business centre, telephone services, concierge services, and guest reservations. The performance of the front desk also has an impact on profitability and the Front Desk Manager is responsible for watching rates and managing opportunities to upsell. The Front Desk Manager is a key part of creating a culture of service at the hotel and is responsible for teaching and building that culture of service to his/her direct reports and the rest of the hotel staff. 
Duties and Responsibilities
Your responsibilities are diverse in nature and include, but are not limited to:
<ul>
<li>Ensure guests are greeted upon arrival by making time to interact effectively with guests. Respond appropriately to guest complaints, solicit feedback and build relationships drive continuous improvement in guest satisfaction. </li>
<li>Ensure front office staff provides guests with prompt service, professional attention and personal recognition. </li>
<li>Conduct routine inspections of the front office and public areas and take immediate actions to correct any deficiencies.</li>
<li>Check billing instructions and guest credit for compliance with hotel credit policy and ensure all transactions are handled in a secure manner.</li>
<li>Help oversee night audit function and preparation of daily night audit packages.</li>
<li>Develop plans to increase occupancy and ADR through walk-ins and upselling at the front desk</li>
<li>Help manage day-to-day staffing requirements, plan and assign work, and establish performance and development goals for team members. Provide mentoring, coaching and regular feedback to help manage conflict and improve team member performance. </li>
<li>Educate and train team members in compliance with federal, state and local laws and safety regulations. Ensure staff is properly trained and has the tools and equipment to carry out job duties. </li>
<li>Ensure staff is properly trained on systems, security and cash handling procedures, and service and quality standards.</li>
<li>Train team members on safety procedures and serve as a central communications point during emergency/crisis situations; develop and maintain relationships with local fire, police, and emergency personnel. </li>
<li>Participate in the preparation of the annual departmental operating budget and financial plans. Monitor budget and control labour costs and expenses with a focus on rate strategy, building initiatives and inventory management.</li>
<li>Perform other duties as assigned. May also serve as manager on duty.</li>

Accountability
The Front Desk Manager will report directly to the Assistant General Manager and/or General Manager. Primary duties will include the exercise of discretion and independent judgement with respect to matters of significance include room sales, cost control and overall guest experience. Primary duties are to include suggesting and recommending direct reports for hiring, firing, advancement and promotion to the AGM or GM, with his/her recommendation holding particular weight. Primary duties will involve customarily and regularly directing the work of Front Desk Staff and Night Audit Staff who will report directly to him/her. Primary duties include managing the Front Desk department of the property. Primary duties include performance of non-manual work related to the hospitality and service operations of the business. The Front Desk Manager will be part of the senior management team at the hotel and eligible for serving as Manager on Duty.
Qualifications and Requirements
 Bachelor’s degree / higher education qualification / equivalent in marketing or related field, and four or more years’ experience in a hospitality role or equivalent combination of education or experience. The Front Desk Manager will be responsible for managing Front Desk Staff and Night Audit Staff. Will be eligible to serve as Manager on Duty. This position will also require access to a personal telephone in case of emergency or offsite need and access to internet for email communication.
