Operations Management:

Job Description 
As a Grand Opening Project Coordinator you will play a key role overseeing grand openings from conception to completion.
<ul>
<li>Review the project in-depth to schedule deliverables and estimate costs.</li>
<li>Establish and improve upon the existing Grand Opening process including but limited to the creation of a timeline, checklist, vendors, run of show, marketing materials, etc.</li>
<li>Provides support to the franchisees by managing the timeline of their grand opening.</li>
<li>The single point of contact between the franchisees and the corporate staff through the grand opening process of new and resale locations for all brands.</li>
<li>Ensure all disciplines of the grand opening are defined, scheduled, held to the timeline, completed, and communicated to the franchisees and corporate staff.</li>
<li>The UFG advocate for the franchisees during the grand opening process for new and resale locations.</li>
<li>Communicate via telephone and/or email with each franchisee for updates on the status of their grand opening timeline. Daily internal and external communications may be required as needed as the project is coordinated and tracked to a timeline.</li>
<li>Define the project management tracking procedures to provide real time status updates and utilize the tracking procedure to effectively communicate to franchisees and corporate staff on the daily status.</li>
<li>Produce an individual file system to allow for all status, communications, forms, dates and updates to ensure the grand opening is on time and a plan if the plan slips to ensure on time completion and success.</li>
<li>Research and identify new vendors, when needed.</li>
</ul>
Qualifications 
Bachelor’s degree (B.A., B.B.A., or B.S.) or equivalent from four-year college or university; or at least three years related industry experience and/or training; or equivalent combination of education and experience.

<li>Must blend the ability to be focused and determined with internal staff to challenge them for completion as you coordinate the successful timelines on each discipline while maintaining a solid respect and working relationship.</li>
<li>Program or project management experience is a requirement.</li>
<li>Franchise experience in grand openings is a positive.</li>
<li>A never-ending positive attitude and commitment to customer service is required with 3 years of customer service experience or interaction.</li>
<li>Coordinator or manager experience is a positive.</li>
<li>Public relations or marketing experience is a positive</li>
<li>Must be willing to travel on a case-by-case basis, as needed (up to but no more than 20%).</li>

Major Responsibilities/Tasks:

<li>Assists in preparing, reviewing, and submitting accurate claims to insurance carriers, government payers, and third-party administrators.</li>
<li>Identifies and corrects billing errors or missing information, as required. Works with insurance companies to resolve billing and insurance issues.</li>
<li>Helps resolve claim errors/denials to ensure they are billed within timely manner. </li>
<li>Works with patients and internal departments to resolve billing and insurance issues.</li>
<li>Works with patients on outstanding balances, offering payment plan options when applicable.</li>
<li>Acts as liaison between billing and tribal medical reimbursements, following up with tribal patients when missing CIB documentation.</li>
<li>Assists in preparing billing reports for management review.</li>
<li>Ensures the accuracy for demographic data input from Patient Services Representatives at intake.</li>
<li>Monitors outstanding claims and follows up with payers for unpaid or denied claims.</li>
<li>Assists with month-end and year-end closing processes.</li>
<li>Follows HIPAA guidelines for protecting patient health information.</li>
<li>Adheres to organizational policies and regulatory billing requirements.</li>
<li>Maintains accurate, secure, and organized billing records.</li>
