What will I do as a Unit Clerk for The Wesley Community?

<li>Answer the telephone, page calls; deliver messages to residents, and nursing staff as necessary.</li>
<li>Record medical and administrative information in accordance with our established charting and documentation policies and procedures.</li>
<li>Complete forms and requisitions necessary for continuity of administrative records and resident's care.</li>

<li>Assist in arranging and making appointments for diagnostic and therapeutic services.</li>
<li>Keep nursing service personnel informed of residents' appointments.</li>
<li>Record appropriate resident identification data in EMR programs, wristbands, etc., as directed.</li>
<li>Scan records in EMR Program, Vision.</li>
<li>Deliver mail, flowers, etc. as necessary.</li>
<li>Direct visitors to resident rooms, office areas, etc. as necessary.</li>
<li>Keep office supplies at pre-established quota levels, replenishing on a weekly basis.</li>
<li>Assist in the orientation of newly assigned personnel as directed.</li>
<li>Work with the facility's consultants as necessary (ie. podiatrist, dentist, optometrist, hairdressers, etc.).</li>
<li>Assist the Charge/Staff Nurse in typing work assignments, schedules, etc. as required.</li>
<li>Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the facility.</li>
<li>Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the unit and shift.</li>
<li>Inform nursing service personnel of new admissions, their expected time of arrival, room assignment, etc.</li>
<li>Greet newly admitted residents upon admission. Escort to room as necessary.</li>
<li>Ensure attending physicians have everything needed to complete sick and regular rounds.</li>
<li>Assist in the orientation of newly assigned personnel to your unit.</li>
<li>Attend in-service training programs as scheduled.</li>
<li>Attend and participate in continuing educational programs designed to keep you abreast of changes in your profession.</li>

Unit Clerk

POSITION QUALIFICATIONS
<ul>
<li>The Unit Clerk must have a high school diploma or equivalent.</li>
<li>Excellent reading, writing, and communication skills are required, along with knowledge of medical terms and at least one (1) year of experience as a Unit Clerk (preferred).</li>

DUTIES/ RESPONSIBILITIES
Using independent judgment, the Unit Clerk provides clerical services to the patient care units. The clerk is responsible for:

<li>Correct transcription of orders</li>
<li>Filing of all reports</li>
<li>Maintaining patient log book</li>
<li>Daily chart reviews</li>
<li>Arranging for transportation and follow-up/outside tests</li>
<li>Maintaining current professional licenses and/or certifications as and when required by state, regulatory agency, or hospital mandate.</li>

Position Summary:

SUMMARY: 
The Registration Clerk will process the information required for admittance, dismissal, and insurance billing. This will include communicating well with members of the public and accurately recording data. The clerk will also review insurance verification/authorization, prepare necessary consent forms, and prepare other information pertinent to registration. This position also includes functions of a cashier and Hospital Operator. 

ESSENTIAL FUNCTIONS:

<li>Maintain a 95% better benchmark registration accuracy in patient demographics, insurance data entry, and validating insurance coverage using proper patient identification. Documents account activity and financial status as necessary in notes. </li>
<li>Responsible for daily registrations, which include ancillary services, Emergency Room Registration, and House Admissions, determining services needed for surgery patients, and pre-registration services, i.e., surgical consents. </li>

<li>Communicates clearly and appropriately to Director of Patient Financial Services, Co-workers and physicians and our customers.</li>
<li>Performs up-front collections on all patients except emergency patients. Collections efforts for emergency patients are taken after medical screening.</li>
<li>Directs patients unable to pay to the Financial Counselor during business hours. Financial arrangements are made according to hospital policy.</li>
<li>Communicates with nursing to receive room assignments. Correctly assigns appropriate service and accommodation. </li>
<li>Directs patients to appropriate departments for services to be rendered. </li>
<li>Performs cashiering duties regarding payment activity, cash balances, drawer and safe reconciliation, security, etc., at the beginning, end and during each shift. </li>
<li>Correctly completes and distributes daily census/hospital report.</li>
<li>Discharges patients to produce the ER Registration Log according to departmental policy and procedures. </li>
<li>Verifies insurance eligibility for all payors. </li>
<li>Contacts appropriate insurance, Carolina Access PCP, or HMO for required outpatient approval and certification numbers.</li>

General Purpose:
Responsible for assisting in determining the eligibility for housing assistance through the preparation, verification and maintenance of applicant documentation, in addition to monitoring wait lists and daily vacant unit listings needed for placement.
Essential Duties and Responsibilities:
Prepare and maintain applicant files for placement and/or referral to other Authority departments according to eligibility criteria. Enter applicant and occupancy information into the computer and complete all necessary documentation. Assist in determining eligibility in accordance with the Authority's Admissions and Occupancy Policy, Administrative Plan and Tenant Selection Plan.

<li>Schedule placement appointments and interview applicants utilizing standard procedures. </li>

Position Summary:
Under general supervision, the purpose of this position is to provide medical - clerical support work in connection with the care and treatment given to patients in the Inpatient or Emergency Room of the Tohono O'odham Nation Health Care Hospital located in Sells, Arizona. 
Scope of Work: The purpose of the Unit Clerk position is to assist the nursing and professional medical staff with the clerical and other non-professional activities involved in the care of patients. The incumbent initiates and follows through on all clerical procedures throughout the patient's care. The work includes serving as a receptionist, performing record-keeping duties, and providing miscellaneous support to the unit's staff. The incumbent of this position is expected to address and resolve problem situations. Works under the Supervisory Clinical Nurse's supervision may also receive assignments from the "Charge Nurse."
Essential Duties and Responsibilities(Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below) :

<li>Perform as a receptionist and responsible for greeting all patients and visitors in a respectful, courteous manner. </li>
<li>Responsible for alerting Security personnel to unauthorized visitors.</li>
<li>Receive incoming telephone calls and route calls to patients, medical staff, or other departments. Receive and distribute mail to medical staff, nursing staff, and the patients.</li>
<li>Schedules appointments with other medical services and makes necessary arrangements for patients, such as requesting medical records, initiate requisitions for ultrasound, CT scans, and other procedures with outside facilities and in-house.</li>
<li>Responsible for assembling new admission charts, transcribing doctor's orders, initiating lab requests, doctor's referrals, filing lab reports and other patient documents in the patient's chart and the patient's Electronic Health Record.</li>
<li>Responsible for scheduling appointments with outside facilities and coordinating transfer of patients to outside facilities by contacting the EMS dispatcher, the ambulance drivers, when applicable, PRC, and Tribal transportation. </li>
<li>Arranges transportation for patients receiving health care within or outside of the Nation's Hospital Unit; verifies and assures the patient's record is complete and accurate before the transfer.</li>
<li>Responsible for assisting with patient discharge orders and final disposition of patient charts after the patient is discharged.</li>
<li>When working the Maintains and enters data for updated ER Log per EMTALA and Joint commission</li>
<li>Performs patient registration duties by updating demographics, verification of insurances, referring to Benefits coordinator when necessary.</li>
<li>Responsible for the maintenance of forms and office supplies used daily by the unit. Replenish forms and office supplies when depleted. </li>
<li>Notifies the Housekeeping department of routine requests - linen, cleaning rooms, etc. Responsible for routine work orders on the unit using TMA. </li>
<li>Processes and maintains time and attendance records for the unit comprised of full-time, part-time, and temporary employees, utilizing an automated system. Responsible for accurate recording of hours worked or leave taken, including review, audit, and researching attendance records. Answer employee questions regarding time and attendance.</li>
<li>Responsible for maintaining a current list of patient admissions, patient discharges, diet lists, and Inpatient blood sugar lists.</li>
<li>Responsible for attending monthly unity meetings and recording minutes. </li>
<li>Promote Safety and Risk Management initiatives on the unit to help ensure patient, visitor, and staff security.</li>
<li>Responsible for completing and submitting TMA requests.</li>

Knowledge, Skills, and Abilities:

<li>Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required to determine suitability for employment, including a 39-month driving record. </li>
<li>May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years). </li>
<li>If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.</li>
<li>Based on the department's needs, incumbents may be required to demonstrate fluency in both the Tohono O'odham language and English as a condition of employment.</li>
