POSITION ANNOUNCEMENT: ACCOUNTANT
Department: Accounting
Reports To: Executive Vice President
Location: Kansas City, Missouri
Position Summary
The Accountant is responsible for managing and maintaining the financial integrity of the American-International Charolais Association (AICA) and its affiliated entities, including the Charolais Journal, the Charolais Foundation, and the Junior Association. This position ensures accurate financial reporting, compliance with applicable regulations, and effective support for members, advertisers, and internal staff.
Key Responsibilities
Payroll & Benefits
• Process bi-monthly payroll for all employees
• Maintain accurate payroll and benefit records
• Manage benefit enrollment and associated updates
Commissions
• Calculate and issue monthly commissions for field representatives
Cash Management
• Oversee banking activities and account balances for all entities
• Record and reconcile cash receipts and disbursements
• Manage fund transfers as needed
Accounts Payable & Expense Control
• Code and process payables for payment
• Review employee expense reports and charge card transactions for accuracy and compliance
Assets
• Track capital purchases and manage the disposal of fixed assets
Billing & Accounts Receivable
• Generate revenue and miscellaneous billings
• Manage accounts receivable, evaluate credit, and oversee collections
• Assess and report potential bad debts
Taxes & Compliance
• Prepare and file 1099s, use-tax, and other required tax documents
• Ensure ongoing compliance with all applicable financial regulations
Insurance
• Maintain insurance policies and coordinate renewals for all entities
General Ledger & Reporting
• Record journal entries and prepare monthly financial statements
• Develop accurate financial reports for AICA, the Charolais Journal, the Foundation, and the Junior Association
Contract & Credit Support
• Complete credit applications and provide financial analysis for new contracts and partnerships
Customer & Internal Support
• Respond to accounting-related inquiries from members, advertisers, and staff
• Work directly with customers to resolve financial questions or discrepancies
Other Duties
• Provide financial and administrative support to the Executive Vice President and other departments as needed
Qualifications
• Bachelor’s degree in Accounting, Finance, or related field (CPA preferred but not required)
• Minimum of 3 years of accounting experience; nonprofit or association experience a plus
• Strong understanding of GAAP, payroll processing, and financial reporting
• Proficiency in accounting software and Microsoft Office applications
• Excellent organization, attention to detail, and communication skills
• Ability to work independently and collaboratively within a small team environment
