Job Overview
As an Administrative Assistant, you will play a crucial role in supporting the assigned department daily. You will be responsible for managing various administrative tasks, coordinating schedules, and ensuring smooth communication between different departments. This position requires a detail-oriented individual with exceptional organizational skills and the ability to prioritize tasks effectively.
Key Responsibilities
- General Administrative Support:
- Answer and direct phone calls, take messages, and respond to emails
- Greet and assist visitors, clients, and guests
- Maintain a clean and organized office environment
- Manage office supplies inventory and place orders as needed
- Handle incoming and outgoing mail and packages
- Prepare and distribute memos, letters, and other documents
- Calendar Management:
- Schedule and coordinate meetings, appointments, and travel arrangements for executives and team members
- Manage and update multiple calendars, ensuring no conflicts or overlaps
- Send reminders and follow-ups for scheduled events
- Data Management and Reporting:
- Create, update, and maintain various databases and spreadsheets using Microsoft Excel
- Generate reports, presentations, and other documents as requested
- Assist in data entry and ensure accuracy of information
- Develop and implement efficient filing systems for both digital and physical documents
Required Qualifications
- Must have recent office administrative support experience.
- Minimum of 3 years recent clerical support experience.
- Enjoy a professional, busy department.
- Proficient with Microsoft office- Word/Excel/Outlook/PowerPoint
- Professional communication skill set
