We are seeking a highly organized, patient-focused, and clinically skilled Clinical Coordinator to support our Vascular/Interventional Radiology (VIR) provider. This role is ideal for a Certified Medical Assistant with experience in procedural care and a strong understanding of patient coordination. This new addition to our team will be a vital asset to ensure the smooth coordination of patient care, procedural scheduling, and provider support. The Clinical Coordinator will serve as a liaison between patients, providers, imaging staff, referring physicians, and the broader care team to enhance workflow efficiency and ensure a high standard of clinical workflow optimization.

Salary/Pay Rate: $27/ hour

Hours: 40 hours per week

Key Responsibilities:

Patient Coordination

  • Serve as the primary point of contact for patients throughout the care continuum—from initial referral to post-procedure follow-up.
  • Educate patients on procedures, prep instructions, post-care expectations, and address concerns.
  • Assist with scheduling consultations, imaging studies, and procedures in coordination with radiology and surgical teams/other referral specialists/providers.
  • Act as primary contact for patients with questions regarding preparation, medications, or recovery.
  • Manage provider calendars and ensure all relevant clinical documentation, imaging, and lab results are available ahead of appointments and procedures.
  • Facilitate timely communication between the VIR provider and other specialists, primary care providers, clinical staff and vendors.
  • Prepare daily case lists, procedure notes, and maintain accurate documentation within the EMR. This includes but is not limited to maintaining and management of the Athena EMR specific task buckets for: Patient Cases, Vascular referrals, Vascular orders/authorizations, Vascular imaging, etc.

Clinical & Administrative Duties

  • Obtain prior authorizations for Vascular /Interventional procedures.
  • Collect and review clinical data, lab results, and imaging reports to ensure case readiness.
  • Room patient and perform intake, including vital signs, medication reconciliation, HPI and patient history assessment.
  • Ensure that all pre-procedure requirements (labs, imaging, clearances) are completed and reviewed prior to scheduled procedures.
  • Assist with in-office procedures as appropriate, maintaining sterile technique
  • Maintain Vascular office/procedure room supply stock and communicate with vendors for ongoing organizational purposes

Workflow & Quality Improvement

  • Assist in developing and optimizing clinical workflows to reduce delays and improve patient experience.
  • Track quality metrics such as case volume, scheduling, and no-show rates; identify and propose solutions for bottlenecks, including organizational identified merit based quality measures (MIPS)
  • Ensure compliance with HIPAA regulations and institutional policies.

Qualifications

  • Education: Medical Assistant Certification (CMA, RMA, or equivalent) required
  • Experience: Minimum 2 years of experience in a clinical coordinator, medical assistant, or nursing role. Experience in interventional radiology or vascular medicine is preferred but not required.
  • Certifications: Certified Medical Assistant (CMA), Registered Nurse (RN), or Licensed Practical Nurse (LPN) credentials are a plus.
  • Current CPR/BLS certification required.

Required Skills

  • Knowledge of vascular procedures, terminology, and clinical workflows.
  • Excellent communication, organizational, multi-tasking abilities and patient service skills.
  • Strong EMR skills,preferably Athena is preferred.

Working Condition

  • May require occasional early morning or evening availability depending on procedure schedules.
