Job Description As an Executive Assistant/HR Coordinator is to provide high-level administrative and human resources support to the Executive Director. This role is responsible for answering calls and inquiries, composing correspondence and reports, and coordinating meetings. The Executive Assistant/HR Coordinator helps ensure smooth communication by receiving and transmitting information both internally and externally. In support of HR functions, the role assists with recruitment, onboarding, and interpreting organizational policies and procedures for staff. The position also maintains accurate employee records and supports benefit administration by tracking employee elections and related documentation. Additionally, the coordinator arranges travel and manages logistics for meetings, trainings, and events. A high level of professionalism, confidentiality, and organizational skill is essential for success in this role.
Responsibilities: • Coordinates office services and provides high-level administrative support to the Executive Director. • Transmits orders and instructions on behalf of the Executive Director to internal staff and external stakeholders. • Drafts and responds to correspondence of moderate complexity related to agency operations. • Schedules and coordinates meetings for the Executive Director, including preparing agendas and managing logistics. • Arranges travel accommodations for the Executive Director, Board members, and staff, including flights, hotel bookings, and itineraries. • Manages invitations and event responses; maintains a detailed schedule of agency events and executive commitments. • Manage resident recertifications by preparing documentation, scheduling appointments, and conducting annual interviews and interim rent determinations. • Oversees personnel-related activities including recruitment, screening, scheduling interviews, and preparing interview materials. • Leads employment interviews in collaboration with department heads. • Manages all new hire documentation through the ADP onboarding platform (I-9s, tax forms, benefits documents, etc.) and performs E-Verify checks. • Maintains and updates the HR Portal in ADP, including recruiting, onboarding, employee records, and information changes. • Conducts new employee orientations and ensures smooth integration into agency operations. • Assists the Executive Director and department heads in handling disciplinary actions and documentation. • Supports classification and compensation updates, including job description creation and salary analysis. • Maintains complete and confidential personnel files for all agency employees. • Prepares and maintains forms and files related to workers' compensation, health insurance, retirement, and other employee benefits. • Ensures compliance with personnel-related laws and regulations including COBRA, FMLA, ADA, etc.
Qualifications and Requirements: • High School Diploma or GED required • Must be able to pass a drug screening test • Must have a minimum of 3 years of leasing required

The base salary range for this position is $40,000 excluding benefits, bonuses, or other compensation. Your final salary will depend on your skills, qualifications, experience, location, and internal pay equity. Please note, hiring at the top of the range is uncommon to allow room for future salary growth.
