Description of Job: Provide administrative support to the local Chief Executive Officer (CEO) and the Senior Leadership Team by maintaining and modifying executive schedules, managing travel and expenses and creating meeting presentation slides. Maintain and control a variety of complex confidential communications that affect the entire organization. Design and maintain administrative procedures to ensure smooth operation of the office when executives are unavailable. Work independently on special assignments related to the business.

Principal Responsibilities:

  • Provide direct assistance to the local Chief Executive Officer (CEO) and the Senior Leadership team.
  • Manges schedules and corporate calendars for the local executive team. Communicate and resolve schedule conflicts and confidential business matters immediately.
  • Manage all domestic and international travel arrangements including invoice and expense reporting for senior executives.
  • Support executives in the development of influential presentations to deliver internal and external messaging; including developing executive level slide decks and adapting notes to create high impact presentations.
  • Responsible for the release of a variety of complex communications that affect the entire organization, including editing and crafting drafts for written communications (print, electronic and presentation) to internal and external stakeholders.
  • Primary coordinator for executive meetings and events, including the arrangement of complex and detailed travel plans, itineraries and agendas.
  • Lead, organize and coordinate arrangements for corporate events, functions, meetings, training sessions and social gatherings by overseeing communication, review and approve contracts, make hotel and travel reservations, creating agendas, handling menu selection, securing necessary equipment and supplies such as IT, video equipment, flipcharts, handouts, PowerPoint presentations, name tags etc.
  • Identify preferred vendors; negotiate corporate rates with local hotels and restaurants.
  • Work autonomously to drive special projects and events as needed.
  • Design and maintain procedures that allow appropriate access to confidential information.
  • Taking minutes for special meetings
  • Assisting with report consolidation and preparation.
  • Manage corporate calendar and notify office staff of meetings with visitors, customers, vendors, and dignitaries.
  • Other projects and job duties assigned.

Skills:

  • Solid interpersonal skills and ability to build and maintain relationships with stakeholders, including C-Level, executives from different countries.
  • Ability to perform multiple tasks flawlessly with excellent attention to details.
  • Strong self-starter, who can anticipate the needs of the senior leadership team.
  • High degree of integrity, confidentiality, discretion and professionalism.
  • Exceptional oral and written communication skills;
  • Attention to detail and exceptional organization and time management skills
  • Ability to negotiate, persuade and influence change
  • Must be able to work independently and work collaboratively with teams.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, etc.);
  • Professional Certifications in event planning, meeting planning or program coordination a plus.
  • Certified as a Notary Public preferred

Experience:

  • 8-10+ years of administration experience including five (5) years working with executive teams.
  • Experience working in a global company preferred. Cultural awareness to ensure that information about activities and events is communicated clearly, accurately and appropriately to employees with diverse backgrounds.

Education:

  • High School Diploma Required. College degree preferred.

Hourly Pay Range: The estimated hourly pay range for this position ranges from:

$41.73 to $51.11. Individual pay is based upon location, skills, experience, and other relevant factors.
