Tri-State Bobcat is seeking a reliable and organized Administrative Assistant to support our leadership team and daily operations. This role involves managing records, scheduling, data entry, and internal communications, as well as preparing documents for internal and external use. The ideal candidate is detail-oriented, flexible, and able to maintain accuracy across tasks.
Additional duties include coordinating with vendors, maintaining filing systems, supporting process improvements, and providing backup coverage for front desk and admin roles as needed. The schedule is Monday – Friday 8:30 am – 5:00 pm, with rotating Saturdays 8:00 am – 12:00 pm. The pay range for this role is between $25-30 per hour, based on experience.
Essential Functions:
- Provide day-to-day administrative support to the leadership team
- Maintain and update records, reports, and documentation
- Assist with data entry, scheduling, and internal communications
- Help prepare and organize documents for internal and external use
- Manage filing systems, both digital and physical
- Maintain accurate inventory records, including tracking stock levels, recording transactions, and reconciling discrepancies
- Support process improvements and ensure accuracy across tasks
- Assist with coordinating vendor or partner communications
- Provide backup coverage for front desk and other admin roles as needed
Minimum Qualifications
- 3+ years of experience in administrative, office management, or similar role.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with CDK, Wells Fargo Dealer Services, and MachineTrader is a plus.
- Familiarity with equipment sales, finance, or dealership operations highly preferred.
- Excellent organization, time management, and multitasking skills.
- Strong attention to detail and accuracy in data entry and documentation.
- Ability to work independently and maintain confidentiality.
- High school diploma or equivalent required
