Job DescriptionWe are looking for a detail-oriented and proactive Executive Assistant to join our team on a contract basis. Based in Los Angeles, California, this role supports high-level executives by managing calendars, coordinating travel, and overseeing administrative operations. The position offers a hybrid work environment, with on-site work Monday through Thursday and remote flexibility on Fridays.
Responsibilities:
• Manage and organize complex calendars, ensuring seamless scheduling of meetings and appointments.
• Arrange and coordinate domestic travel plans, including flights, accommodations, and itineraries.
• Facilitate virtual meetings by setting up technology and ensuring smooth execution.
• Handle rolling calls and maintain detailed call logs for executive-level communication.
• Process invoices and manage expense reports accurately and efficiently.
• Schedule and prepare materials for executive meetings, ensuring all logistics are in place.
• Collaborate with internal teams to ensure effective communication and task prioritization.
• Adapt quickly to a fast-paced environment, maintaining a high standard of professionalism throughout.• Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
• Proficiency in Microsoft Outlook, with strong calendar management skills.
• Demonstrated ability to handle travel arrangements and coordinate complex itineraries.
• Familiarity with virtual meeting tools and related technology.
• Strong organizational skills with exceptional attention to detail and accuracy.
• Ability to manage multiple priorities in a fast-paced, dynamic work environment.
• Excellent written and verbal communication skills.
• Experience with invoice processing and expense management systems.
