Rusin Law, Ltd. is an established and successful insurance defense law firm based in downtown Chicago representing corporate employers, municipalities and insurance carriers in Workers’ Compensation, OSHA, personal injury, third party liability and lien recovery matters.
Position Overview
We are seeking a Legal Assistant to join our dynamic team in our Champaign, IL office. The Legal Assistant provides essential administrative and secretarial support to attorneys in a fast-paced legal environment. This role requires strong organizational skills, attention to detail, and a working knowledge of legal concepts and processes. The Legal Assistant ensures smooth case management by preparing and processing legal documents, maintaining accurate calendars and files, and performing general office duties while maintaining confidentiality.
Key Responsibilities
- Document Management:
- Transcribe attorney dictation and draft legal documents, including pleadings, discovery, subpoenas, and motions.
- Review and revise documents for accuracy and completeness.
- Distribute documents to clients, courts, and third parties via email, mail, certified mail, or fax.
- Case & Calendar Support:
- Maintain attorney calendars and assist with trial preparation.
- Organize and update physical and electronic case files.
- Follow up on subpoena responses and manage incoming/outgoing mail.
- Administrative Duties:
- Schedule couriers, notarial services, and other special functions.
- Process invoice payments and handle general office upkeep.
- Answer and screen calls professionally while maintaining confidentiality.
- Perform clerical tasks such as filing, scanning, photocopying, and mailing.
- Research & Additional Support:
- Conduct case research using appropriate reference sources.
- Complete other duties as assigned by management.
Qualifications
- Associate’s degree or equivalent experience (3–5 years in a legal or office setting preferred).
- Strong verbal and written communication skills with excellent grammar.
- Proficiency in MS Office Suite.
- Ability to manage multiple priorities and work both independently and as part of a team.
- Professional demeanor and discretion with sensitive information.
