Position Summary
The Warranty Manager is responsible for overseeing all Peterbilt and OEM warranty claims, submissions, approvals, and reimbursements for the dealership. This role ensures that the company receives full and timely payment for qualified warranty work while maintaining compliance with all manufacturer policies and internal processes. The Warranty Manager works closely with the Service Directors, Service Managers, Service Advisors, Technicians, Parts, and Accounting to provide accurate documentation and reporting while also maximizing recoveries, and reducing claim denials.
Key Responsibilities
• Manage the entire warranty claims life cycle for Peterbilt and all supporting OEMs. • Review repair orders for accuracy, proper coding, and required documentation prior to claim submission. • Ensure warranty work adheres to OEM time standards, policies, and procedures. • Audit, correct, and submit warranty claims through OEM portals within required timeframes. • Track claim status and follow up on unpaid, denied, or short-paid claims. • Communicate with OEM representatives to resolve claim disputes. • Work with Technicians to ensure proper story writing and photos are collected. • Train Service Advisors and Technicians on documentation and warranty requirements. • Maintain organized warranty records for audit readiness. • Reconcile monthly warranty receivables with the Accounting Department. • Monitor trends and provide feedback to improve efficiency and reduce denials. • Assist in internal and OEM warranty audits as needed.
· Report to Senior Management regarding warranty team, submission and claim performance.
Qualifications
• 3+ years of warranty administration experience in heavy-duty trucks, automotive, or similar service industry (Peterbilt experience strongly preferred). • Strong knowledge of OEM policies and warranty labor time guides. • Experience interpreting repair orders, technician notes, and parts usage. • High attention to detail and accuracy. • Proficiency with dealership management software (Karmak). • Strong communication and collaboration skills. • Ability to work in a fast-paced environment with competing priorities.

Physical Requirements
• Ability to sit for extended periods working on a computer • Occasional walking through the shop environment • Ability to lift up to 25 lbs occasionally (photos, parts documentation, etc.)
Work Schedule
• Full-time; Monday–Friday • Additional hours may be required during peak periods or for OEM deadlines
