Job Summary:
The Administrative Assistant will provide support for daily operations, including managing customer inquiries, dispatching, scheduling, billing, and general office tasks. The role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
- Greeting visitors in person and over the phone, providing a positive first impression
- Answer and direct phone calls, emails and other correspondence as needed
- Schedule appointments, service calls and manage the dispatch board for technicians
- Assist with invoicing, billing and bookkeeping tasks as needed
- Assist in daily service tech timecard adjustments
- Constant communication with service technicians in the field for scheduling purposes
- Assist in any Service Dept A/R collections and follow up.
- Scheduling of Service Estimator site visits on estimate calendar
- Ability to distinguish between estimates vs day to day calls vs longer install jobs
- Assist with office organization and light housekeeping tasks
- Process customer requests quickly and efficiently
- Accurate and reliable data entry
- Perform other administrative duties as assigned
Qualifications:
- High school diploma or equivalent
- 1-3 years’ experience in an administrative or office support role
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic computer knowledge
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Ability to multitask and work in a fast-paced, ever-changing work environment
- Must have reliable transportation as this is an in-person position
- Ability to accurately type 50 wpm
- Knowledge of Service Titan is a plus
- Experience in the service industry is a plus
Physical Requirements & Work Environment
- Prolonged periods of sitting at a desk and working on a computer
- Frequent use of a telephone and computer to communicate with customers and teammates
- Occasional lifting of office supplies, files and equipment up to 25 pounds
- Ability to move freely around the office to access files, office equipment and interact with team members
