Job Description

What is the Opportunity?


The Preconstruction Coordinator’s primary responsibility will be to provide administrative and logistical support for the preconstruction team. Our Preconstruction Coordinator plays a critical role in helping organize and manage the bidding process for construction projects with a high level of quality. They handle tasks like document control, maintaining project files, scheduling meetings, maintenance of the department databases, maintaining and tracking information on estimates, and general administrative support for all new and existing projects.

This position is ever evolving and requires an organized thinker with strong clerical skills, exceptional attention to detail, and the ability to support the team in delivering precise and timely estimating deliverables.


Essential Functions and Key Responsibilities include but are not limited to:

Document Management: Support the Preconstruction department with document control and administrative duties by maintaining and updating project files, bid documents, and relevant information.

  • Set up, maintain, and organize estimating folder for projects
  • Download and transfer of plans and specs to working environment
  • Manage print production of project documents as needed


Bid and Deliverable Coordination: Coordinating with estimators to gather information, prepare bid packages, and ensure high-quality, timely submissions.

  • Create projects and assist in maintaining estimating and bid solicitation software in BuildingConnected
  • Assist in preparation of bid instructions, bid forms, and bid scopes for distribution via BuildingConnected
  • Assist the estimating team with creating the Attack Plan template for new projects
  • Assist the estimating team with making bid coverage phone calls and emails, including outreach to vendors and suppliers
  • Input subcontractor quotes into estimating bid tabs as they are received from subcontractors via email and BuildingConnected
  • Assist in logging pre-bid requests for information (RFIs)
  • Assist estimators in conveying feedback to bidders
  • Create bid books
  • Assist in creating clarification/scope letters
  • Assist Marketing with proposal creation
  • Use Bluebeam to modify/create PDFs as necessary for bids and requests


Scheduling and Meetings:

  • Scheduling of job walks, attack plans, initial, and final review meetings for team leads
  • Schedule all events, subcontractor meet and greets, and lunch and learns for the Preconstruction department
  • Create weekly estimating meeting agenda template


Database Entry and Maintenance:

  • Manage and maintain multiple databases, including historical cost database / cost comparison template
  • Manage and maintain subcontractor / vendor database via BuildingConnected
  • Input post-sub reviews into BuildingConnected
  • Input projects into ViewPoint for time charging


Subcontractor Support: Assisting in the prequalification and coordination of subcontractors

  • Manage tracking of subcontractor prequalification and subcontractor approval process using the TradeTapp Prequalification system
  • Organize and maintain annual subcontractor appreciation outreach (bundt cakes)
  • Organize and coordinate AGC subcontractor and general contractor showcases


Quantity Take-Offs: Assist estimators with performing quantity take-offs of materials

  • Ability to read and interpret plans
  • Perform quantitative takeoffs from plans


Other related duties as assigned or needed.

Candidates must have excellent interpersonal and communication skills, and the ability to manage multiple tasks and deadlines. Previous construction industry experience is preferred. Key competencies are initiative, communication, teamwork, and time management.

  • Strong ability to handle multiple assignments/deadlines simultaneously, and meet deadlines in a fast-paced environment
  • Excellent time management skills with ability to prioritize tasks
  • Successfully work in collaboration with others

  • Strong problem-solving abilities
  • Willing to learn and take on responsibilities quickly
  • Collaborates with other Estimators and takes direction from the lead Estimator on assigned projects.
  • Collaborates with Management, Marketing, Project Managers, Assistant Project Managers, Project Engineers, and Accounting Specialists on project pursuits
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • BuildingConnected bidding software knowledge desired
  • TradeTapp Prequalification System knowledge desired
  • ViewPoint knowledge desired
  • Ability to navigate specifications and plans
  • Experience with Bluebeam or other PDF-editing software
  • Procore knowledge desired
