Job Summary:
The Administrative Assistant will support the daily operations of the Healthy Start program. This position is responsible for registering patients in accordance with departmental protocols to ensure a smooth flow of patients and enhance both customer and provider satisfaction. The role includes checking out patients after their appointments with a case manager, verifying the accuracy of their information in the Electronic Medical Record (EMR), and scheduling follow-up appointments according to the specific protocols of each department and in compliance with regulatory requirements, such as the Health Insurance Portability and Accountability Act (HIPAA). Additionally, the Administrative Assistant provides administrative support to assist the team with daily operations.
Essential Duties and Responsibilities:
The Administrative Assistant performs a wide range of duties, including, but not limited to, the following:
- The Administrative Assistant is responsible for supporting the day-to-day operations of the Healthy Start program.
- Act as the first point of contact and greeter for all Healthy Start participants and visitors in person and via telephone.
- Assist with program referral management by logging all incoming referrals in the database and tracker, verifying insurance, scheduling intakes for the Enrollment Specialist, and providing resources to ineligible referrals.
- Manage the program’s partnership with Healthy Steps Diaper Bank. This includes submitting bi-weekly diaper orders, picking up the orders from Healthy Steps, distributing them to the case management team, and monitoring the program’s compliance with the order limit.
- Monitor, maintain, and organize all program supplies as well as ensure the front desk and lobby area are presentable.
- Assist with department ordering at the discretion of the Director.
- Maintain professional boundaries and ethical conduct in all interactions.
- Attend all necessary department and team meetings.
- Participate in department events and outreach activities as able.
- Ensure compliance with policies and procedures as required by program funding organizations and other regulatory agencies.
- Enter all required documentation electronically into the appropriate database accurately and efficiently.
- Complete and keep track of continuing education credits as required by program regulations.
Requirements:
- Administrative and Organizational Skills: Proficiency in time management, organization, attention to detail, customer service, communication, and problem-solving is essential for this role.
- Tech-Savvy: Proficiency in basic data entry computer skills and the ability to learn new software or databases specific to the role.
- Strong Interpersonal Skills: Ability to communicate courteously and effectively with individuals from diverse backgrounds.
- Team Player: An industrious and cooperative nature to foster harmonious working relationships with colleagues, leadership, community partners, and community members.
- Education Background: A high school diploma or equivalent is required.
- Valid Driver’s License: Ability to travel throughout the service area.
Preferred Qualifications:
- Two (2) years of working experience as an administrative assistant or equivalent role.
- Prior experience working in a health care or non-profit setting.
- Knowledge of community resources in Dauphin County and surrounding areas.
- Bilingual in Spanish is preferred
