Description
Legacy Design Strategies is an award-winning, client-centered estate planning firm committed to guiding families through the complexities of estate settlement with compassion, clarity, and professionalism. We are seeking a motivated and detail-oriented Legal Assistant to support our Trust Administration and Probate team.
In this role, you will work closely with paralegals and attorneys to manage the estate settlement process from initial client contact through final distribution of assets. This includes preparing legal documents, coordinating with financial institutions and courts, maintaining organized and compliant files, and serving as a steady, empathetic point of contact for clients and beneficiaries.

This is a full-time, in-office position: MondayFriday, 8:00 a.m.5:00 p.m.
Responsibilities
- Prepare and draft legal documents, including notices, inventories, accountings, letters, and asset distribution documents.
- File probate and other legal documents with various county courts, ensuring accuracy and timeliness.
- Communicate professionally with clients, beneficiaries, financial advisors, court clerks, and attorneys via phone, email, mail, and fax.
- Assist in managing all stages of trust administrationfrom initial client meetings to final distribution of assets.
- Maintain accurate, organized client files by scanning, uploading, and updating documentation in our CRM and case management systems.
- Track and manage caseload deadlines to ensure compliance with applicable laws, regulations, and internal procedures.
- Conduct basic legal research and apply findings to specific cases under attorney direction.
- Provide administrative support to the trust administration and probate team as needed.
Qualifications
- Bachelors degree or Paralegal Certificate preferred or equivalent experience.
- 2+ years of experience in a law firm or administrative office setting preferred; we are willing to train the right candidate who meets other core requirements.
- Exceptional attention to detail and strong organizational skills, with the ability to manage multiple tasks and priorities independently.
- Professional communication skills with the ability to interact effectively with clients, attorneys, and financial professionals.
- Demonstrated empathy, patience, and compassion when supporting clients experiencing the loss of a loved one.
- Team-oriented mindset with a willingness to collaborate and support colleagues.
- Proficiency in Microsoft Word and Excel; comfortable learning new technology and software systems.
