Office Tasks:

  • Be present in the office daily.
  • Assist the Office manager with assigned tasks
  • Maintain a clean and professional office presentation.
  • Collect, store, and distribute incoming packages.
  • Check, collect, and distribute daily mail.
  • Order, track, and maintain office supplies and break room snacks.
  • Maintain required compliance and license posters; ensure they are up-to-date and properly displayed.
  • Support partners and vendors with company events.
  • Answer the door and coordinate external visits.
  • Schedule and assist with office support vendors as needed.
  • Interact with office staff provide general admin support as needed.

  • Coordinate required maintenance and facility improvements with the landlord property management.


Billing Tasks:

  • Support designated Project manager(s) with administrative functions and processes.
  • Issue Client invoiced in a timely manner.
  • Manage work-in-progress (WIP) for projects.
  • Track and manage subconsultant and project-related expenses.
  • Issue recurring reports to Project Managers(s).
  • Maintain accurate and updated records of clients and projects.
  • Assist with invoice collections.
  • Assist with Accounts Receivable function.


Requirements:

  • Minimum of 3 years of project billing experience.
  • Strong attention to detail.
  • Clear and professional communication and writing skills.
  • Effective problem-solving abilities.
  • Ability to work independently.
  • Knowledge in Microsoft applications and Microsoft Cloud environment.
