Major Duties & Responsibilities
- Provide admin support to leadership.
- Coordinate arrangements, document minutes of the meetings and/or conferences as assigned.
- Schedule meetings as directed by leadership
- Obtain & file toolbox talks from superintendents
- Obtain, verify, and route field labor time to leadership for final approval
- Draft & distribute weekly manpower schedule
- Track vehicle maintenance & usage
- Manage permits signatures for leadership requested by PMs
- Maintain permit log updated
- Coordinate ABC schedule and events for leadership
- Assist leadership in the review and execution of vendor Master Agreements & Commitments
- Screen all office calls for leadership
- Create & post content on social media platforms
- Process job-related expenses for leadership
- Procure closeout documents for projects per PM provided closeout log (Warranty letters, O&Ms, Extra stock, as-builts)
- Obtain all necessary credentials & executed commitments from vendors
- Upload credentials and execute commitments to servers
Perform periodic check of vendor credentials on active projects to ensure all are up to date and in compliance
Qualifications
- Experience in construction administration, project management, and documentation
- Strong knowledge of construction processes, compliance, and regulations
- Excellent organizational and time-management skills
- Ability to communicate effectively with project managers, contractors, and stakeholders
- Proficiency in construction management software and other relevant tools
- Bachelor's degree in Construction Management, Engineering, or related discipline is a plus
- Prior experience in an on-site construction administrator role is a plus
- Ability to work independently and as part of a team
