Executive Assistant

Job Summary:

Campbell's Pool and Spa is seeking a highly competent and professional Executive Assistant to provide top-notch administrative support to our executive team. This individual will play a critical role in ensuring the smooth functioning of daily operations and maximizing the productivity and effectiveness of our executives. The ideal candidate will possess exceptional organizational skills, excellent communication abilities, and the ability to handle highly confidential information with discretion. Accounts Payable background is a plus

Responsibilities:
- Act as the primary point of contact between the executive team and internal/external stakeholders, including clients, partners, and employees.
- Manage and organize executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Assist with the preparation and coordination of meetings, including compiling agendas, taking minutes, and ensuring follow-up actions are completed.
- Conduct research, analyze data, and prepare reports as required, providing accurate and timely information to support decision-making.
- Draft and edit various documents, including correspondence, presentations, reports, and memos, maintaining a high level of accuracy and attention to detail.
- Handle confidential and sensitive information, ensuring appropriate storage, sharing, and disposal procedures are followed.
- Track and prioritize incoming requests, emails, and other correspondences, highlighting urgent matters and ensuring they are addressed in a timely manner.
- Coordinate and manage special projects and ad hoc assignments, both independently and in collaboration with other team members.
- Maintain organized electronic and physical filing systems, ensuring easy accessibility and retrieval of information.
- Liaise with other departments and assist with cross-functional projects, fostering effective communication and collaboration.

Requirements:
- Bachelor's degree in Business Administration, Office Management, or a related field is highly preferred.
- Proven experience as an Executive Assistant or similar role, preferably in a fast-paced corporate environment.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Exceptional written and verbal communication skills, with the ability to tailor messages to different audiences.
- Strong attention to detail and the ability to maintain a high degree of accuracy while under pressure.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
- Ability to exercise sound judgment, handle confidential information with discretion, and maintain a high level of professionalism.
- Excellent problem-solving skills and the ability to think critically and proactively.
- Strong interpersonal skills and the ability to build and maintain effective relationships with stakeholders at all levels.
- Flexibility to work outside regular business hours, as needed.
