Job Description: Administrative Assistant

Job Summary:
McKinley Care Assisted Living is seeking a compassionate and organized Administrative Assistant to join our team. This role plays a vital part in supporting the health and well-being of our residents by managing administrative and medical-related tasks, coordinating with healthcare providers, maintaining documentation, and ensuring clear communication with families and care coordinators.
Key Responsibilities:Administrative Support:
- Answer phone calls and direct inquiries appropriately.
- Schedule and confirm resident appointments with provider offices.
- Assist with scheduling non-emergent and emergent transportation for residents as needed.
- Maintain an up-to-date appointments calendar, tracking all resident medical appointments.
- Upload discharge papers to the Point Click Care system and email copies to care coordinators and family members.
Resident Care Coordination:
- Request annual physician statements from providers and ensure timely submission.
- Request Medicaid travel vouchers for resident appointments as needed.
- Request medication refills and follow up with pharmacies and providers.
- Regularly check in with the Resident Manager and nurses for updates on resident health and care needs.
- Notify family members, guardians, and care coordinators of emergency room visits or hospital returns, documenting these communications in Point Click Care.
- Assist the Adult Day Service Coordinator and help arrange transportation for participants.
Documentation Management:
- Update resident shower logs, oral care logs, phone logs, and radio logs.
- Maintain accurate and thorough documentation of resident interactions and care updates in Point Click Care.
Resident Interaction and Communication:
- Remind residents of upcoming appointments and provide necessary preparation details.
- Maintain clear and professional communication with family members and guardians regarding residents' health updates.
Additional Responsibilities:
- Occasionally assist care staff on the floor to support resident needs.
- Assist resident visitors in and out of the elevator to ensure safety and convenience.
- Perform other duties as assigned by the Operations Manager.
Qualifications:
- High school diploma or equivalent; completion of a Medical Assistant training program preferred.
- Previous experience in a medical or assisted living environment is highly desirable.
- Proficiency in using electronic medical records (experience with Point Click Care is a plus).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively with healthcare providers, families, and residents.
Physical Requirements:
- Ability to sit, stand, and walk for extended periods.
- Occasionally lift or move up to 25 pounds.
Work Environment:
- The role involves working in an assisted living facility, interacting closely with residents, staff, and external medical professionals.
