POSITION MISSION STATEMENT The Chisholm Community Foundation (CCF), an affiliate of the Saint Paul & Minnesota Foundation, is a community-based philanthropic endowment for the enduring benefit of the Chisholm and Balkan communities. The CCF Administrative Assistant advances and supports the mission of CCF by helping the advisory board members steward charitable funds for impactful programs and responsive projects in the areas of social service, education, arts and culture, conservation, and historic and environmental preservation. ABOUT THE DEPARTMENT The Philanthropic Services team at Saint Paul & Minnesota Foundation is the driving force behind growing and supporting our network of Minnesota philanthropists. Made up of experts from a variety of sectors, this energetic team works with individuals, organizations, and financial and legal advisors to help them make a difference in Minnesota communities. The team provides a range of services from estate planning support to the latest online tools for managing and tracking individual giving and access to resources that help others be effective in their giving. KEY RESPONSIBILITIES Advisory Board Administration -Prepare meeting agendas with the Chair or Executive Committee. -Send meeting notices and compile and distribute board packets. -Record and retain meeting minutes with Secretary. Gifts/Contributions/Expense Processing -Process checks for to receive and transmit contributions to SPMF offices. -Using various reports and internal processes compile donor lists. -Reconcile donations with fund statements. -Stewardship of current and prospective donors and donations. Grantmaking Process -Publish grant opportunities and application deadlines. -Receive grant applications and prepare grant applications materials to support grant committee review and decision making -Notify applicants of grant decisions. -Submit grant recommendations using digital fund portal. Marketing and Communications -Support creation and distribution of CCF newsletter. -Maintain up-to-date CCF website. -Maintain donor and supporter mailing lists. -Share education opportunities with community stakeholders. Events Management -Coordinate in-person events and day-of implementation. -Coordinate with event vendors and sponsors. -Facilitate event registration. -Coordinate paid registration and tax-deductibility with SPMF. -Process vendor invoices and payments.
