The Executive Assistant supports the CEO and key leadership team members in a fast-paced and growing business. They will provide administrative support for a wide variety of generalized office-related activities drawing on strong communications skills, calendar management, and ability to prioritize incoming items for the leadership team. This position requires a detail-oriented, organized, and proactive individual who is comfortable managing multiple tasks and prioritizing their workload.

WHAT YOU'LL DO:
- Primary focus is to support the CEO & Executive Management Team on special projects and day to day operations with the highest degree of accuracy and confidentiality.
- Assignments generally involve work of a confidential nature and require knowledge of corporate practices and procedures, company products, policies, and programs.
- Act as liaison between administration, all stores, departments, and Caterpillar Inc.
- Coordinate communication between departments and other external associates.
- Perform office functions such as assembling and analyzing information, transcribing notes, arranging board meetings, preparing and distributing reports, agendas, and memorandums.
- Manage and prioritize incoming communications, including email and mail.
- Prepare materials in final form; from very rough and involved drafts which utilize frequent use of technical terminology. May combine materials from several sources.
- Arrange and schedule appointments. Manage extremely active calendars, may proactively identify and resolve scheduling conflicts.
- Prepare and assemble materials for presentations.
- Organize, prepare, and submit expense reports from receipts and notes.
- Organize and maintain documentation and electronic filing system.
- Plan conferences and special events as required.
- Make travel and accommodation arrangements and distribute schedules/agendas for travel.
- Order supplies and may process and code invoices through procurement system.
- Provide administrative support to executive(s) on personal business matters.
- Responsible for exhibiting professional behavior with both internal and external business.
WHAT YOU'LL NEED:
- Bachelor's degree (B.A.) from four-year college or university, or two (2) to three (3) years related experience and/or training; or equivalent combination of education and experience.
- Very strong computer skills with proficiency in Microsoft Office 365.
- Strong organizational and time management skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail.
- Strong verbal, written, and interpersonal communication skills.
- Highly resourceful team-player, and self-starter with the ability to work independently with limited supervision.
- Ability to complete complex tasks quickly and react with appropriate urgency to situations that require a quick turnaround.
- Ability to speak effectively before groups of customers or employees.
- Ability to apply common sense understanding to carry out instructions furnished in written or oral form.
