The Operations Administrative Assistant provides administrative support to Beacon Treatment Center department heads with a focus on billing and human resources. This position reports to the Operations Director.
- Provides administrative support to ensure efficient operations.
- Maintains physical and digital filing systems.
- Uploads/downloads digital records to assist with billing, human resources, and other operations departments
- Answers phone calls and directs callers to appropriate personnel.
- Inputs and updates information in databases and spreadsheets.
- Uses word processing and presentation software to create and edit documents.
- Researches as requested and compiles and summarizes information for reports
- Works closely with other administrative staff and supports other colleagues as needed.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Recruitment: Assisting with posting employment opening, screening applications, and scheduling interviews
- Onboarding: Welcoming new employees and helping them feel part of the team
- Payroll: Compiling Employee Hours Reports for Payroll
- Employee records: Maintaining employee records and ensuring employee confidentiality
- Employee Requirements: Track expiration of required employee licenses and certifications including CPR certifications and TB testing, ensuring all employees stay current
- Understands Employee Handbook and helps to ensure all employees are following policies and procedures
- Carries out various HR duties such as pre-employment and monthly random employee drug testing
- May Cross-train to provide support to the Program Department
- Other duties and responsibilities as assigned
