Job Description Summary
Provide administrative, secretarial, and receptionist support to the ULV Counseling and Psychological Services Director, Assistant Director, Staff Psychologists, graduate student counselors, clients, faculty and staff.
Minimum Qualifications
Good oral written communication and active listening skills, ability to manage a variety or work tasks, and maintain client confidentiality. Ability to establish and maintain a professional, confidential and business-like demeanor with clients, staff and faculty. Ability to communicate with clients and potential clients over the phone and in person while maintaining confidentiality at all times. Exercise independent and sound judgment, as well as maintaining a sense of calmness while handling and coordinating situations when a client is in distress or in crisis.

Specific Duties
- Answer the telephone and greet all CAPS visitors.

- Schedule all appointments for CAPS clients, reach out to clients regarding follow-up care, and provide clinical documentation for clients with proper release of information.

- Provide administrative support to the Director, and other CAPS staff by coordinating and managing all day to day office functions within CAPS.
- Understand and explain CAPS program components, requirements, policies and procedures to new CAPS staff, clients, as well as ULV faculty and staff.
- Compose and/or type selected correspondence, Staff Handbook, Referral Resources, and all CAPS forms.
- Prepare (type, duplicate, collate, etc.) material needed for all workshops, seminars and classes conducted by the director of CAPS or CAPS staff.

- Input and maintain CAPS data including: Maintain accurate record of all client visits
- input clients information into Titanium, collect and compile statistical data and evaluations.
- Input therapist's schedules and room assignments into Titanium Schedule.
- Initiate and maintain all client (with assistance of therapists), staff and program files.
- Oversee and monitor file security.

- Maintain inventory control and order supplies as well as handle all maintenance requests at CAPS.
- Monitor and oversee the maintenance of all CAPS equipment including photocopier, printer, fax/scanner and computers.
- Maintain accurate financial records and reconcile CAPS budget.

- Check and manage the CAPS email inbox.
- Manage CAPS website.
- Maintain the organization and tidiness of CAPS offices, staff room and waiting room.
- Present information about CAPS at university events (SOAR, outreach events).
